Creative Saskatchewan is responsible for six creative industry sectors: music, screen-based media, visual arts and fine craft, book publishing, live performing arts, and digital media. Creative Saskatchewan stimulates the commercialization of creative products and helps Saskatchewan’s creative talent find firmer footing in domestic and international markets. The agency accomplishes this through a suite of grants, mentoring opportunities, marketing activities, and strong partnerships with creative industry associations.       ***       Creative Saskatchewan is seeking a top-notch Operations Coordinator to join our dynamic staff team. The primary function of the Operations Coordinator is to provide support to the Staff and Board of Creative Saskatchewan.  Creative Saskatchewan is a small office operation and, as such, some staff positions include the responsibility of several roles. For the Operations Coordinator, this means that some specific HR, IT support/interface, and finance support duties are part of the job.       This position will be of interest to highly-motivated, organized, analytical, problem-solvers who enjoy a challenging multiplicity of tasks.  The ideal candidate will possess initiative, the ability to recognize operational/administrative needs, exude confidence, and demonstrate the capability to create and maintain organizational efficiencies.       The Operations Coordinator will be comfortable dealing with a variety of stakeholders (in person, on the phone, and written correspondence) including creative industry member associations, government policy makers, financial managers, educational institutions, Creative Saskatchewan program staff and Board members, the media, and the general public.     The Operations Coordinator is one of the primary frontline staff positions and, as such, the ideal candidate will effuse great customer service, positive outlook, hospitality and professionalism.       Reporting to the Chief Financial Officer, the Operations Coordinator will work closely with the staff team toward delivering on strategic outcomes of Creative Saskatchewan.   SPECIFIC ROLES AND RESPONSIBILITIES:   Front desk reception and client-centred frontline service.Order office supplies, manage the procurement process – obtain quotes, create POs, obtain authorizations for purchases, oversee receiving, prepare invoice packages.Records management, including management of office filing systems and electronic records upkeep, following prescribed government procedures for maintenance and disposal of corporate files.Assist/support staff with their respective duties, such as providing event and program assistance, assisting with research and information gathering.  Book flights and hotels for staff, Board and clients/stakeholders.Set up and take down of meeting rooms, including technical set-up and catering requirements.SecurityMaintain a key inventory that includes who has door, file cabinet, or other keys;Ensure that records for the key box are updated in a timely manner. Act as liaison/primary contact with Creative Saskatchewan’s IT service provider:Facilitate and assist with troubleshooting, procurement, and service calls;Track resolution of hardware and software issues; Maintain hardware and software inventories.HR SupportCreate and maintain timesheet setup, including electronic file permissions and required reporting.Board SupportWork with Board and Committee Chairs to set meeting dates and agendas, process e‑votes, and prepare meeting minutes within prescribed time-frames;Prepare meeting room, including technical set-up, catering needs and take-down;Maintain required electronic and paper records;Provide additional support, as required, such as booking hotel rooms, etc. MiscellaneousEnsure that staff kitchen is maintained and tidy.Any other reasonable duties or responsibilities as assigned by the CFO or the CEO.QUALIFICATIONS University undergraduate degree or specialist training, with a focus on business administration and/or office management. IT and records management experience. Minimum 3 years’ relevant experience, ideally in a professional office environment or government setting, with a focus on office management and administrative practices, procedures, protocols and equipment. Computer and word processing applications and programs including Microsoft Office, above average grammar and proofreading skills.
