What You’ll Do

The Administrative Assistant will provide administrative and organizational assistance primarily to the Vice President, Enterprise Digital Marketing, as well as providing support to their teams.

The successful candidate will be proactive in managing this group. You will have a proven track record in an administrative capability to work both independently and in a professional team environment.

You must be able to demonstrate a high degree of flexibility and thrive in a fast-paced environment while maintaining accuracy and reliability in the work performed.

You will interact with senior management and their Executive Assistants and must display confidence while performing effectively in this setting.

The position demands the ability to take initiative, exercise sound judgement and anticipate the needs and requirements of senior level executives and their teams.

A high degree of good judgement and an ability to maintain confidentiality on highly sensitive matters is required.


  • Coordinates all administrative aspects of the VP and their team, including calendars, meetings, mail, filings, expense reports, and occasional travel arrangements to ensure an efficient and effective working environment
  • Acts as the key contact for the group, providing reliable and timely resolution to inquiries
  • Assist with HR transactions relevant to the team
  • Able to assist in creating presentation material, which will require advanced working knowledge of Word, Excel and PowerPoint
  • Coordinate and format Board and Audit Committee reports, to ensure deadlines are met and high quality reports are submitted
  • Input attendance for team into HR system (PeopleSoft HR)
  • Assists in the coordination of the Month End meeting reporting process
  • Placing orders for office supplies when required
  • Other duties as assigned
  • What You've Done

  • Minimum 5 years of experience in a senior administrative / support role within a fast-paced environment
  • Strong organization and planning skills with a high attention to detail to analyze and determine urgency of issues and inquiries
  • Superior written and verbal communication skills
  • Very proficient in document editing and formatting
  • High level of independence; can be relied upon to follow work through to completion
  • Proven ability to exercise sound judgement, and work with confidential information while maintaining absolute discretion
  • Proven ability to take initiative and anticipate the needs and requirements of senior professionals and their teams
  • Excellent working knowledge of Microsoft Office including Outlook, Word, PowerPoint, and Excel
  • Team player
  • Proven ability to establish relationships within an organization
  • Willing to occasionally monitor email off-hours
