The Project Coordinator will work with Project Managers and technical team members in support of Transit Engineering and Facilities projects and studies.

  • We are seeking a hands-on team player who will be able to assist project managers on a daily basis. Specific responsibilities include written reports and documentation, development and monitoring of project budgets and schedules;
  • monitoring and tracking the progress of project work; project reviews, quality audits, presentations; project set-up, preparation of client billings;
  • revenue recognition; working with project managers to proactively identify project budget and schedule problems and implement corrective actions;
  • review of invoices ans monitoring the status of accounts receivable. Accurate and timely performance and strong multi-tasking skills are essential.

    Some of the duties of the Project Coordinator may include any or all of the following :

  • Manage project information, including hard-copy and electronic files
  • Co-ordinate information flow between project participants, including sub-consultants, and, where appropriate, between the project team(s) and the client(s) in the design and construction phases
  • Attend project meetings and prepare detailed minutes of meetings
  • Preparing and review of milestone reports
  • Develop PowerPoint presentations based on input from project team members
  • Prepare new project start-up documents per HDR project and quality procedures, including assisting with the development of work plans and level of effort cost estimates
  • Develop and track / monitor project schedules for meetings and deliverables
  • Monitor, update and review project financial status (performance against budget) to assist with invoicing and forecasting cost to complete
  • Prepare draft monthly progress reports
  • Co-ordinate document production for interim and final deliverables.
  • Track and ensure compliance with contract requirements.
  • Assist in the preparation and production of proposals
  • Able to read, interpret and work with multi-discipline drawings and reports.
  • Qualifications

    Required Qualifications

  • A university or college degree is required
  • Working previously in an Engineering firm’s office is preferred
  • A minimum three plus (3+) years related project coordination experience is required
  • Must be a proactive, self-starting, detail oriented individual with strong interpersonal and organizational skills
  • Excellent English language both written and verbal communications skills are essential
  • Proficient use of Microsoft Word, Excel, PowerPoint and Project, Adobe Acrobat, Outlook and Oracle software
  • Additional software skills are a plus
