POSITION SUMMARY :

Provides regional coordination and administrative organization to the Field Executive Education Manager (FEEM) and Director, Field Education & Artistry (DFEA) by providing support to the regional education function.

Drives strong regional organization to support education strategy from a coordination, planning & training execution perspective.

To execute the onboarding of new regional team members with the set up of technology access, equipment, business cards & Corporate expense cards.

Working with the field managers with the tracking of monthly & annual expenses to ensure they are in line with forecasted annual budget.

Prepare regional communication memos on behalf of the FEEM and to be able handle confidential information as per the brand expectations.

PRINCIPLE ACCOUNTABILITIES :

  • Responsible for providing Education and Artist Training & Development-related administrative support for the region. This includes completing quarterly updates of the Skills Certification Databases, maintaining the Regional Education Calendar and the Quarterly Regional Education Strategy, compiling and completing the quarterly M A C Update Shipping Information, maintaining training tracking logs / reports / tallies / files, maintaining regional and Educational contact lists, collecting regional training information and data for Director, Field Education & VP, Education, gathering regional information for integration into Education COE and Splash tool, partnering with Digital Learning Manager (East / West) for requests for digital assets, maintaining vacation schedules for Education staff and submitting regional information to Global Education, ordering product and education samples / office supplies as required, organizing / maintaining an arsenal of education assets, gathering and inputting invoices for payment (special artistry projects such as Fashion Week, AR / Global Communication events).
  • Work with Finance, DFEA and FEEM to manage, forecast and monitor regional education budget in alignment with fiscal guidelines and allotment.
  • This includes monthly monitoring of VA’s, completing FEEM Concur reports, auditing Concur for Education staff, tracking the regional Education budget and quarterly calls with regional Education and Finance.

  • Drives the integration of digital assets and social engagement from an organization and coordination perspective for the education region.
  • Partner with Regional Education Trainers and sales and operation field partners to plan core training (Basic, M A C Update) and monitor and update Skill Certification records for all regional staff.
  • Supporting the Canada Education function at large and in partnership with DFE and VP, Education NOAM & Assistant to VP, Education NOAM.
  • This means working to integrate a cohesive Education organization across the Canada by sharing best practices in regional administration, effective communication with REC colleagues and supporting Canada based Education objectives.

  • Partnering with Assistant to VP of Education NOAM in providing regional data, information and assets as needed.
  • Responsible for managing the Regional Training Facilities. This includes acting as the main contact for property management for building issues, acting as the main contact for local vendors for set-
  • up and maintenance of Training Facility needs such as power, telecom, alarm, water deliveries, etc., maintaining all Training Facility equipment, liaising with corporate IS team to troubleshoot network problems and ordering of all supplies for the Training Facility.

  • Works closely with the FEEM and Regional Education Trainers to ensure proper and timely completion of Educational asset submission, reporting and education-
  • related assigned objectives for the region to support all administrative aspects of education for the region.

  • Manages correspondence and composes communication / reports in areas of assigned responsibility as directed by the DFE and FEEM.
  • Communicates with and maintains solid working relationships with field and senior management and within internal departments.
  • Maintains regional calendars for classroom, in-store and field support as outlined by the FEEM
  • Makes travel and hotel arrangements for the FEEM and regional education team.
  • Prepares and organizes itineraries for regional visitors and regional education meetings.
  • Provides support to Education team on the use of Concur, on-line Travel Services and Basic Computer skills.
  • Organizes regional education strategy meetings & class room style core training. This includes arranging hotel accommodations, travel, meeting room set-
  • up, catering, audio-visual equipment, meeting materials, evening events and taking minutes, etc.

  • Assists FEEM and DFE with personal requirements as needed.
  • Coordinate all necessary education-related paperwork and data collection as requested by VP, Education NOAM.
  • Prepare all store repairs requests by working with the store managers & FESM and sending for approval. Following through with the store teams & regional construction teams on all pending & the approved repairs.
  • Working closely with store managers & FESM to update regional distribution email lists & contact lists for all regions.
  • Qualifications

    Education : BA or Certificate

  • Proficiency managing Online Tasks including digital uploads, Application capabilities and maintaining digital libraries for education arsenal
