As a Client Care Coordinator, you are key to creating an exceptional client experience, with an emphasis on the interaction with the client in and out of a medical environment.

The Client Care Coordinator will provide accurate and effective schedule management and administrative support, keep up-to-date with changing policies and procedures, and advocate for hearing health awareness by creating brand visibility in the community.

Responsibilities of the Client Care Coordinator position :

  • Standardized process to greet clients, making them feel welcome from the phone calls to the in- clinic experience, explaining the details of the appointment;
  • provide assistance with completion of forms if necessary, provide amenities;
  • Receive incoming calls and direct / answer client queries or complaints appropriately;
  • Confirm all client appointments via telephone or email;
  • Manage callback and lead lists.;
  • Maintain accuracy of all patient and clinic records (electronic and / or paper);
  • Maintain office product and procedure manuals and other relevant documentation;
  • Prepare and receive any mail and / or packages;
  • Process hearing aid and accessory orders;
  • Have a working knowledge of ALDs in the office and able to sell to clients directly;
  • Provide basic hearing aid maintenance / repairs including cleaning / checks and tubing changes;
  • Manage pending orders, repairs, applications and billing;
  • Create invoices for products and services rendered;
  • Process payments from clients and 3rd parties in internal systems;
  • Accurately complete month-end inventory;
  • Process accounts receivable and direct accounts payable to the appropriate department;
  • Manage, complete and track all third-party billing submissions;
  • Assist clients in completing financing applications as required;
  • Complete and deposit bank transactions;
  • Maintain petty cash float;
  • Complete daily sales reconciliation and send weekly M & M accounting packages to Head Office.
  • Maintain communication with community organizations regarding availability and interest in sponsoring hearing health-care events;
  • Complete follow up calls with existing client data base CRM letters and Sycle generated lists;
  • Maintain a clean, professional office environment;
  • Job Requirements :

    Requirements of the Client Coordinator Position :

  • High school diploma or equivalent;
  • Diploma in administration preferred;
  • A minimum of 2 years experience in an office and / or direct customer service environment;
  • Knowledge of the hearing aid industry is considered an asset.
  • Excellent organizational, interpersonal, verbal and written communication skills;
  • Ability to work independently and as part of a team to complete required tasks;
  • Strong computer application skills with software such as Microsoft Suite, as well as client database systems;
  • Ability to work accurately and efficiently in a fast-paced work environment;
  • Ability to discern and maintain client confidentiality.
  • Must be able to maintain a high level of concentration even with numerous interruptions
