We are looking for an experienced Executive Assistant to join one of the top companies within the Energy industry within the heart of Toronto!
In the role of your primary responsibilities will include :
Provide day-to-day administrative support to the EVP, Development, including managing calendars, travel arrangements, and expenses
Prepare the EVP, Development for meetings, including compiling information and debriefing the EVP, Development on pertinent information prior to the meetings
Screen all calls, and in the EVP, Development’s absence, assume any follow-up as required, including prioritizing issues and determining what appropriate action to take including delegation of the call to another senior manager
Organize meetings, prepare and circulate agendas, gather inputs from relevant internal and external stakeholders, record and circulate minutes, follow-up on action items
Prepare, consolidate, or finalize presentation material as needed
Be an active business partner to the management team by constantly managing and improving department processes
Liaise and create a network with other administrative support and other business areas;
Take responsibility to identify and support business process improvement opportunities and strategic projects within the Development Department
Support the Development Department in managing various document storage and collaboration databases and sites
Support the Development Department senior management in calendar maintenance and travel, being certain Toronto based personnel and international Managing Directors / Country Managers
Brief Development Department senior management on urgent matters and alert appropriate staff to issues of the day

Understanding of business development and financial insight an asset
Fluency in verbal and written English is required; additional language(s) an asset
Experience in a multinational company or energy / power industry an asset
Experience and expertise in MS Office Suite, including PowerPoint
