Our nonprofit client is seeking a Committees Coordinator for a 4-6 month contract. Located in Nepean and close to local amenities and local transit.

This opportunity starts immediately and our client will be interviewing asap.

Roles and Responsibilities

  • Monitors the committee email account and receives committee-related phone calls, responds to inquiries and requests, and brings issues to the attention of the Director
  • Builds effective relationships with committee members and their administrative support professionals
  • Prepares draft minutes of committee and working group meetings for Director review
  • Develops and maintains a database of committee member information
  • Prepares correspondence related to committee appointments and departures
  • Coordinates logistics for committee meetings including securing venues and procuring catering
  • Identifies and deploys the appropriate technology supports for the meeting, providing set up and trouble shooting at the time of the meeting
  • Supports the development of meeting agendas and coordinate the dissemination of meeting materials
  • Prepares Travel Authorization Requests for staff required to attend committee meetings at locations other than their usual place of work.
  • Facilitates the dissemination and collection of honoraria and expense claim forms for committee members and other meeting participants
  • Qualifications and Experience

  • Completion of a three year community college diploma in business administration or related field
  • 3-5 years relevant experience
  • Experience in supporting committees and / or Boards of Directors.
  • Bilingualism would be a big asset
  • Excellent interpersonal skills with the confidence required to establish good working relationships with internal staff and external stakeholders and partners
  • Excellent written and oral communication skills
  • Exceptional organizational skills
  • Strong attention to detail and ability to multi-task
  • Ability to work at the advanced level using MS Word, Outlook, Excel, PowerPoint, Lync, Skype, contact management systems and extranets / virtual collaborative spaces
  • Education and Certifications

    Minimum education required : University Degree or College Diploma
