Specific accountabilities

Reporting to the Marketing Director, Le Centre Eaton de Montreal, Place Montréal Trust, the Administrative Assistant is responsible for providing clerical and administrative support to the Marketing Department and assisting the Marketing Director.

  • The Administrative Assistant is also required to approach retailers and partners in connection with various promotions. Administration & Marketing : Ensure the support and follow up on files managed by the Marketing Director and assist the Marketing Director with various tasks;
  • Actively participate in various meetings of the Marketing Department; Develop and update the annual marketing calendar; Prepare the monthly summary of marketing activities for the various internal teams;
  • Prepare presentations and various reports; Draft general departmental correspondence, internal memos, reports and retailer notices;
  • Prepare post-mortem reports for various marketing activities (research and analyse information, make recommendations, take pictures, etc.

    Prepare, transmit and classify purchase orders and invoices; Coordinate the setup and teardown of storefront hoarding, holiday decorations, window displays, etc.

    Coordinate the production of promotional items; Support the Customer Service team regarding the gift card program; Collaborate in updating the contents on the web site of Centre Eaton and Place Montréal Trust.

    Events & Contests Coordinate logistics with external contractors and internal teams for various marketing events (Festival of Fashion and Design, Santa-

  • Claus Parade, the summer and winter sales, Black Friday, packaging kiosk, gift card promotion, Outings, and other activities and events);
  • Coordinate and supervise promotional squads (training, schedule management, etc.); Prepare rules for contests and submit them to the Régie des alcools, des courses et des jeux (RACJ).

  • Retailers relations : Develop and maintain strong and harmonious relationships with all retailers, suppliers and centre staff;
  • Prepare written communication for the retailers relating to all marketing programs, events and promotions and send them to the retailers of the Centre (i.

  • e. Retailer’s Newspaper); Establish recognition activities with / for retailers (if applicable); Solicit support from retailers and partners for different marketing initiatives;
  • Maximize the collaboration and visibility of retailers on all occasions; Coordinate various marketing programs with tenants (signage, events, contests, partnership, etc.

  • Follow up on reimbursements, etc. Community relations : Manage and coordinate community donation requests in accordance with property policies and guidelines;
  • Develop and maintain links with key stakeholders in community organizations and charitable partners in the property; Manage and coordinate all community requests, monitor and document all investments in the community.

    Key requirements

  • University degree in marketing or communications, or equivalent, plus three to five years of relevant experience; Solid knowledge of Microsoft Office and Photoshop applications;
  • In-depth understanding of social media (Facebook, Twitter, Instagram, Pinterest) and Google Analytics; Keen sense of priorities, organization and teamwork;
  • Ability to perform under pressure and meet deadlines; Strong interpersonal skills; Fluency in written and spoken French and English;
  • The candidate must be available evenings and weekend during events.
