Responsibilities :

  • Manage a busy and constantly changing calendar, schedule meetings, and proactively manage calendar conflicts
  • Oversee the Senior Vice President’s email inbox and respond to internal and external emails on their behalf when required
  • Coordinate and book extensive national and international travel for the Senior Vice President and other executives
  • Schedule meetings and organize catering as required, including conferences and off-site events
  • Prepare meeting materials, agendas, presentations, travel itineraries, and other documents
  • Prepare, review and distribute communications from the Senior Vice President
  • Follow up on deadlines and provide updates to the Senior Vice President on a regular basis regarding priorities and commitments
  • Communicate in a professional manner with internal and external stakeholders, providing efficient responses to any inquiries
  • Complete and submit expense reports for Senior Vice President and other executives
  • Qualifications :

  • Minimum 5 years’ experience supporting senior executives
  • Strong verbal and written communication skills
  • Highly organized and proactive with excellent attention to detail
  • Extensive experience with busy calendar management and scheduling meetings, including coordinating conferences
  • Considerable experience with complex travel coordination and preparing itineraries
  • Strong interpersonal skills and a high level of discretion
  • Excellent knowledge of Microsoft Office
  • Degree or post-secondary education
