Position Summary

  • BCIT’s Foundation department is seeking a regular, full-time (FTE 1.0) Coordinator, Annual Giving & Stewardship . In conjunction with the Associate Director;
  • develops, facilitates, executes a comprehensive stewardship program, including retention and upgrading of Annual Donors.

    Works towards enhancing relationship between the donors and BCIT through cultivation, impact reporting and recognition of new and existing donors in support of BCIT’s fundraising and campaigns.

    Provides support to the development and implementation of annual giving campaigns, including direct response, targeting alumni, employees, students, friends and the community.

    Develops and executes stewardship activities including but not limited to : donor recognition, gift fulfillment, event coordination, and stewardship reporting.

    Duties & Responsibilities

    DUTIES AND RESPONSIBILITIES :

    Stewardship

    In conjunction with the Associate Director, Annual Giving & Stewardship, develops and implements a stewardship program that effectively supports building of long-term relationships with donors, including :

  • Ensuring keeping up-to-date the stewardship matrix and recognition style guides on an annual basis;
  • Developing business relationships with donors through primary stewardship such as initial courtesy calls, cards and email correspondence;
  • Supporting the Development team in ensuring that all stewardship initiatives, including recognition events, and impact reports, are delivered in a timely, appropriate manner;
  • Identifying synergies within the Development Team to enhance donor experience.
  • Annual Giving & Stewardship Program

    In conjunction with the Associate Director, participates in annual goal setting for the annual giving program, works on a variety of initiatives including :

  • Developing and implementing printed, online, telephone and community based appeals;
  • Ormulating and implementing project timelines, ensuring that timelines are met; resolves problems as required in collaboration with Associate Director, Annual Giving & Stewardship;
  • Identifying target audiences towards establishing list criteria and preparation of distribution lists with the department’s Advancement Services / Data team;
  • Evaluating and measuring effectiveness of appeals, including fundraising outcomes, messaging and tools; produces reports and makes recommendations for improvement;
  • Providing support to other aspects of Annual Giving program and records management as required.
  • Recognition

  • Provide day-day oversight to the various recognition related activities, including :
  • Coordinating and executing an effective program that appropriately recognizes donors based on factors including giving level, relationship history and impact;
  • Coordinating production of recognition materials including campus markers, donor walls and plaques, and facilitates appropriate recognition events;
  • working with Development staff and campus planning to identify potential naming opportunities;
  • Maintaining an updated database of campus naming opportunities both completed and available;
  • Coordinating naming approvals within Institute and from provincial government, in alignment with BCIT and provincial government policies;
  • Coordinating donor recognition communication with internal and external audiences, including the website and social media channels, working in collaboration with Marketing & Communications
  • Event Planning

    In consultation with Development team, supports event planning activities as following :

  • to developing events plan, budgets, agendas and themes, and establishes timelines to ensure deadlines are met and objectives are achieved;
  • Arranging catering, facilities requests, photography, parking and other event requirements;
  • Developing print and electronic event materials, speaking notes and briefing documents as required.
  • Administrative Support

    Conducts various administrative duties including :

  • Preparing annual budget recommendations and working within approved budget related to annual giving, donor stewardship and recognition programs;
  • Coordinating and executing a variety of hard copy and electronic filing systems to ensure accurate donor records are maintained;
  • Participating in Records Custodian training and remains current with record keeping practices, policies, and procedures (both BCIT, the Foundation and FOIPOP);
  • Undertakes related duties and special projects as assigned, consistent with the job grade of this position.

  • QUALIFICATIONS :

    The qualifications section for this position was developed using the approved job evaluation plan, agreed to between the BCGEU and BCIT.

    Education :

    Completion of two years post-secondary education or Diploma of Technology in the areas of marketing and communications, fund raising, or business administration.

    License(s) / Certifications(s) :

    Must have valid BC driver’s license and access to a reliable vehicle

    Experience :

    Two years general experience plus two years’ experience in a similar position inside or outside the institute, including specific experience in fundraising and special event planning and coordination.

    Software / Computer Application(s) and Expertise :

    MS Office with Word, Excel and PowerPoint at the intermediate level

    Experience with Raiser’s Edge, NXT an asset

    Communication / Interpersonal Skills :

    Excellent written, verbal and interpersonal communication skills

    Experience and ability in preparing and delivering presentations to internal and external groups

    Team player with proven experience working effectively with internal and external stakeholders.

    Administrative Skills (e.g. prioritizing, minute taking, wp speed, etc.) :

    Proven ability to plan, prioritize, implement, oversee and coordinate multiple projects

    Keyboarding at 50 wpm

    Other Skills / Abilities :

    Ability to work a flexible schedule as required

    Ability to exercise considerable initiative and judgment and deal with staff and donors with tact, diplomacy and professionalism

    Sound experience in collaborating on event planning and execution.
