Your role will provide day-to-day switchboard support and act as the primary administrative support to the Shared Services group to ensure the proper function of the Stantec Headquarter office.

You will be reporting to the Internal Engagement Coordinator in Edmonton.

Your Key Responsibilities

Switchboard Operator

Provide excellent customer service to employees, clients and other external parties.

Handle, screen and route incoming calls on behalf of Stantec Head Quarters on a daily basis.

Ensure all calls are put through to the correct person or office, and requests are handled promptly and professionally.

Proactively resolve customer issues and requests

Administrative Duties

Act as the primary administrative support for the department.

Provide administrative support to various departments as requested.

Manage and reply to email requests with accurate direction and information.

Maintain, order and process office supplies as requested.

Prepare meeting agendas and meeting minutes.

Code financial material according to established records management procedures, ensuring timeliness and accuracy of information.

Assist with internal engagement, communication and event management.

Assist employees with Boardroom bookings.

Maintain safe and clean boardroom areas. Ensure all necessary equipment, material and stationery are available.

Assist and complete Catering orders for meetings.

Reception Back-up

Provide excellent customer service.

Greet and welcome clients and guests.

Maintain polite and professional communication via phone, e-mail, and mail.

Anticipate the needs of guests to ensure their seamless and positive experience.

Announce guests as necessary.

Direct guests using employee and departmental directories.

Maintain visitor management system; issue visitor badges; check and maintain visitor badges.

Maintain safe and clean reception area. Ensure all necessary equipment, material and stationery are available.

Your Capabilities and Credentials

Excellent communication skills both verbally and written; delivered in a professional manner.

Strong customer service skills.

Excellent time management skills and the ability to prioritize work

Attention to detail and problem-solving skills

Strong organizational skills with the ability to multi-task

The ability to work in a team environment.

Proficiency with Microsoft Office applications.

Able to complete day to day tasks with minimal supervision

Education and Experience

High School Diploma, Certification / diploma Office administration or, 3 or more years of combined education and experience in a similar role.
