The Department of Archives & Special Collections in Libraries & Cultural Resources is currently seeking a Full-time Limited Term Archives Clerk for approximately 12 months.

This position reports to the Specialist, Archival Processing in Archives and Special Collections. The Archives Assistant will assist with the transfer of archival materials from the Glenbow Library and Archives to the University of Calgary, Libraries and Cultural Resources, Archives and Special Collections.

This position involves regularly moving boxes weighing approximately 25 - 30 lbs.

The primary purpose of this position is to assist with the transfer of archival materials from the Glenbow Library and Archives to the University of Calgary, Libraries and Cultural Resources, Archives and Special Collections.

This position works under the supervision of senior archival staff and assists with the preparation, shifting, and barcoding of materials in both the Taylor Family Digital Library and the Glenbow Library and Archives.

This position will also take place at the High Density Library on the Spy Hill Campus.

Position Description

Summary of Key Responsibilities (job functions include but are not limited to) :

  • Following clearly set guidelines, assists with the preparation of materials for transfer including changing locations, and barcoding in the library management system.
  • Carries out physical moving of various sized document boxes and manipulation of large items.
  • Carries out proper handling procedures for archival and library material.
  • Ensures accurate filing of archival materials.
  • Performs other projects as assigned.
  • Qualifications / Requirements :

  • Diploma in Library Information Technology or related field is preferred.
  • Lifting of document boxes and manipulating large items is a necessary part of the position, including frequently lifting boxes up to 30 lbs.
  • and occasionally lifting boxes up to 50 lbs. This includes lifting and moving boxes and requires bending, squatting, stretching, and climbing step stools when needed to retrieve boxes as well as pushing book trucks.

  • Familiarity with safe handling procedures for rare, fragile, or valuable materials
  • Ability to maintain a high attention to detail and high level of accuracy, even when performing repetitive tasks.
  • Awareness of archival principles, practices, and techniques.
  • Knowledge of library management systems (i.e. Alma) and archival relational databases (i.e. AtoM).
  • Ability to work both independently and collegially.
  • Proficiency with Microsoft Office, Microsoft Outlook, and Microsoft Excel.
