Status : Full Time

Hours of Work : 35 hour / week

Pay Band : 10

Pay Range : $73,401 - $91,752

JOB SUMMARY

Reporting to the Dean of Students and the Director & Special Advisor, Equity and Social Inclusion, the incumbent is the central point of administrative support and contact for the Dean of Students and the Equity and Social Inclusion Offices, which are located in the same office space.

The incumbent is also the first point of contact for the Student Rights and Responsibilities Office and serves as the primary intake for inquiries, complaints and student issues.

The incumbent is responsible for managing, coordinating, supporting and overseeing the administrative processes, business plans, financial management services, operational activities and divisional processes for both the Dean of Students and the Equity and Social Inclusion Departments.

This includes a key role in supporting the management of sensitive issues related to student behaviour and human rights.

RESPONSIBILITIES

The duties of this position will include, but are not limited to the following :

Administrative and Clerical Support and Office Coordination

  • A dministrative support and office coordination : coordinates, maintains and reviews electronic correspondence system for all incoming and outgoing mail, email, other social media, and reports and notifies Dean and Director of any material requiring attention or action.
  • Student Rights and Responsibilities : acts as the primary point of contact for the Student Rights and Responsibilities Office by screening student or staff complaints to determine policy jurisdiction and referring to appropriate policy documents.
  • Clerical support : coordinates and orders supplies and arranges for equipment purchases and maintenance.
  • Compliance, Financial and Budget Management

  • Budget management : assists with the preparation, management and maintenance of the budgets for the departments, ensuring appropriate financial targets and alerting Director and / or Dean as to any budget issues and / or anomalies
  • Compliance : creates and maintains a division compliance calendar, listing all key activities and deliverables and their due dates to ensure all staff within each department are in full compliance with human resources, performance, training and similar college policy and procedure requirements
  • Communication, Data, Reporting, and Technology Support Coordination

  • Acts as the main point of contact for the Director & Special Advisor, Equity and Social Inclusion and the Dean of Students’ direct reports communicating policies, processes and requirements and following up to ensure submissions are received and deadlines are met
  • Directs and coordinates the preparation of recurring and special reports for the Director, Dean, partners, and government agencies as required or requested
  • Human Resources

  • Manages part-time staff and student positions that work centrally
  • Determines staffing needs and develops job descriptions
  • In collaboration with Human Resources, recruits, hires, and trains part-time staff and students
  • QUALIFICATIONS

    Applicants for this position should possess :

  • A Three-year degree or diploma in Business and / or Office Administration, or equivalent
  • A minimum of five years of experience in the college system is strongly preferred
  • Additional experience is required :

  • Operations and budget management experience in a similar setting and capacity
  • Equity, inclusion, diversity and human rights knowledge and experience
  • Priority setting ability and experience
  • Project Management skills and experience
  • Customer Service and Stakeholder engagement experience
  • Familiarity and knowledge of software tools, training needs and upgrade cycles
  • Experience with Policy and Procedure Interpretation
  • Diplomacy skills and experience
  • Experience in building effective teams
  • Demonstrated ethics and values
