What you will do

This poster is to staff an Executive Administrative Assistant position in the Financial and Enterprise Risk Department of the Bank of Canada.

As an Executive Administrative Assistant in the risk group, you will be part of a dynamic workplace and will be given opportunities to demonstrate initiative and creativity.

You will provide full clerical and administrative support to departmental managers while also playing an important support role to the Departmental Coordinator with the preparation of committee and Board-level material, primarily through your contribution to the preparation of visual presentation material.

Your future responsibilities :

  • prioritize and manage correspondence and calendars for senior managers and committees for which the Department acts as secretariat, schedule and control appointments, draft meeting agendas, take minutes, and help to prepare background meeting information, including helping prepare and assemble documentation.
  • assist leaders you support by tracking deliverables, coordinate travel arrangements and support managers with the process for expense claims.
  • On occasion, you will support meetings by assisting meeting participants with Skype or conference call technologies, plan catering and assist with onboarding new team members in the department.

  • prepare key deliverables of the Department as dashboards and visual material for a senior audience of financial and risk professionals;
  • as such, you will spend a significant portion of your time assembling information and helping produce visually appealing and effective communication material under the supervision of the Departmental Coordinator and project leader(s).

  • as an innovative problem solver, you will participate in departmental projects and initiatives and suggest process improvements.
  • You may also be asked to maintain and update the department's filing and data systems.

    What you need to succeed

    We are looking for a strong team player, who actively participates in achieving team goals and who can plan and organize work, anticipate and adapt to different clients’ needs, ask for clarification when required and react quickly to change.

    You maintain an attention to detail and monitor the quality of your work.

    You have intermediate computer skills with the Microsoft suite, including Outlook, Visio, Excel, Word and PowerPoint and have a strong knowledge of office procedures and related policies.

    You are also able to follow the processes and procedures surrounding protected and confidential documents and information.

    As well, you possess strong written and oral communication skills, can write clear and grammatically correct short documents, and can convey straightforward messages with tact.

    The ideal candidate is open-minded, adaptable, and takes initiative to proactively overcome any work obstacles that may arise, such as juggling competing demands by prioritizing, re-negotiating deadlines when applicable while ensuring quality.


  • advanced working knowledge of data visualization software, such as Power BI, Tableau, PowerPoint, Excel’s graphic functions
  • Your education and experience

  • administration certificate / diploma or high school diploma and a minimum of two full years of recent work experience providing administrative support services, with clearly demonstrated skills in presentation material and / or data visualization
  • an equivalent combination of education and experience may be considered
  • What you need to know

  • Language requirement : English and French essential (bilingual) with a minimum starting level of functional (level 4) in second official language.
  • Training may be provided to help reach the required level of fully functional (level 5) in second official language.

  • Priority will be given to Canadian citizens and permanent residents
  • Security level required : Secret

  • Salaries are based on qualifications and experience and typically range from $50,700 to $59,600 (job grade 12)
  • Depending on performance, you may be eligible for performance pay for successfully meeting (3 to 5% of your base salary) or for exceeding expectations (7% of your base salary).
  • Exceptional performers who far exceed expectations may be eligible for higher performance pay.
