Reporting to the Supervisor of the Centralized Call-In Unit (CCIU) / Assistant Administrator :
Provides customer service by answering telephone and responding to inquiries, documenting all call information and completing call logs according to standard operating procedures, and replacing absences based on availability and seniority as part of maintaining scheduling services for all 10 Homes
Prepares, researches, maintains and processes documents, selects and presents data
Drafts correspondence, and determines and corrects errors
Develops spreadsheets, and inputs, updates and maintains data such as charts, schedules and documents
Operates office equipment and computers, utilizing a variety of software packages, applying speed, skill and accuracy
Prepares presentation materials, forms, data tables, and charts
Utilizes layout, formatting and keyboarding skills using computer
Maintains filing and retrieval systems for records and documents
Provides word processing, photocopying, faxing and filling support
Issues and completes receipts and documentation
Receives, balances and records payments and completes receipts
Provides resident banking services and reconciles funds
Coordinates meeting rooms, bookings and special requirements for meetings and events
Attends meetings, takes and transcribes minutes
Prepares, sorts, processes, collects, opens, distributes and delivers mail, cash and bank deposits
Provides backup assistance as required for various administrative functions
Monitors, orders and maintains supplies / resource materials for unit or other locations
Key Qualifications :
Your application must describe your qualifications as they relate to :
Considerable experience inputting data using computers and various software packages such as Microsoft Office Suite (i.
e. Microsoft Word, Excel, Access, email, Quattro).
Considerable experience working in a customer service or call centre type environment.
Experience creating and formatting documents, reports, charts and presentations.
Experience in logging and recording information mainly received through telephone communication.
You must also have :
Knowledge of Ministry of Health & Long-Term Care Standards.
Ability to interpret policies and Collective Agreements.
Good verbal and written communication skills with strong attention to detail.
Ability to establish effective and strong working relationships.
Ability to deal effectively and courteously with residents, families, the general public and all levels of staff.
Ability to effectively schedule staff in a high-volume work environment.
Knowledge of staff-scheduling principles and practices.
Strong analytical and problem-solving skills.
Good interpersonal, conflict resolution and negotiation skills.
Ability to handle many competing priorities and deadlines.
Ability to plan, organize and manage work independently as well as work effectively in a team setting.
Ability to handle confidential and sensitive information with discretion and tact.

Additional Information :
Hours of Work can be up to 70 hours bi-weekly, however, Hours of Work will be decided based on operational needs.

As a condition of employment with the Long-Term Care Homes & Services Division, selected candidates will be required to provide a satisfactory Police Reference Check (PRC) with vulnerable sector screening, tuberculosis screening and proof of immunization in accordance with the Long-Term Care Homes Act (O.Reg.79 / 10).
