This position reports to the Briefings and ATIP team in our President’s Office and Corporate Governance sector. This sector works with our Board and Government to promote effective decision-making.

About the role

We’re constantly evolving to build an inclusive housing system through research, design, innovation and partnerships. You will deliver a full range of administrative and client services to support internal reporting, document coordination, and team support.

This will help us achieve our mission, which is to make housing affordable for everyone in Canada.

  • What you will need

  • High School diploma with experience in an Administrative environment.
  • Proven interpersonal skills (tact, judgment, diplomacy, professionalism, political sensitivity) and effective oral and written communication skills.
  • Ability to build relationships.
  • High degree of attention and accuracy.
  • Organizational skills and the ability to juggle multiple priorities concurrently.
  • Advanced knowledge of Microsoft Office Word, Excel, and PowerPoint.
  • College diploma or certificate in office administration or office management (asset).
  • What you will be doing

    Office and Administrative Support

  • Provides a comprehensive first-point-of-contact service to clients, effectively answering a wide range of questions through a variety of communication mechanisms.
  • Provides organizational support such as scheduling and arranging meetings, coordinating distribution lists, maintaining records.
  • Supporting the ATIP office with procuring and managing records and helping to coordinate releases.
  • Provide administrative support to the sector management team, as required.
  • Provides support for and overall coordination of an electronic logging or bring forward a system which records incoming deliverables, the status of the work and response deadline.
  • Monitors day-to-day activities, identifying and shifting priorities as required for individual or group projects. Anticipates, plans, and provides support services to ensure that ongoing task, project and operational requirements are efficiently and effectively managed.

  • Prepares and updates reports, tables, charts, and briefing materials. Conduct, as necessary, preliminary research and data analysis to coordinate the preparation and assembly of information.
  • Provides a range of office services including managing requests to the Facility Management Portal and coordinating office moves.
  • Ensures all furniture, equipment and supplies are procured, maintained and returned in accordance with corporate policy.

  • Retains key knowledge and information in line with corporate record management practices and security requirements.
  • Supports new hires by organizing orientation materials, IT set-up, and building passes. Provides standard guidance and support to colleagues through training / coaching in own area.
  • Liaises with IT and Administrative Services to ensure functional workspaces and equipment.
  • Note : This position requires to perform standard, often repetitive administrative tasks to high levels of accuracy within tight timeframes.

    Occasional work outside of normal working hours may be required.
