Senior Records Management Clerk duties will be to create and implement a framework for the organization and storage of both physical and electronic files within DLP.

This framework must meet the needs of the section such that it is user friendly, accessible to all members of the section, and is robust enough to be utilized long-

term. The resource must lead and ensure the execution of each stage of this project.

MANDATORY CRITERIA Reliable Security clearanceSecondary school diploma or an acceptable combination of education, training and experienceMinimum of three years of experience providing records management services.

Must demonstrate experience in implementing electronic file storage plans for a minimum of 2 years.Must demonstrate experience working in an Electronic Document and Records Management System (EDRMS) (e.

g. RDIMS) for a period of at least six (6) months.

Tasks include but are not limited to :

  • Create a Contract and Procurement files register to be used by DLP;
  • Populate and maintain the Contract and Procurement files register for the duration of this Contract;
  • Conduct inventory of Contract and Procurement files held at and managed by DLP;
  • Formulate and implement an organization and storage solution for all physical files;
  • Formulate an organization and storage solution for all electronic files within the RDIMS application;
  • This organization and storage solution must be proposed to DLP for approval prior to implementation.

  • Implement the electronic file storage solution by digitizing (scanning) all Contract and Procurement files and organizing as per the approved organization and storage solution;
  • Update the contract and Procurement file register as per physical and digital storage locations;
  • Create and provide a Standard Operating Procedure (SOP) for DLP personnel on the use and how to create and store electronic documents in accordance with the approved organizational and storage plan; and

    Assist and advise the DLP personnel with any records management and file organization needs.
