Job Purpose :

The position is responsible for contributing to the delivery of superior Custody service to wealthy individual clients, institutional investors and to investment counselors, both internal and external to Scotiabank Group.

The incumbent is responsible for the efficient operation of the Custody Services Department through the delivery of the highest quality of administration and service.

This includes, processing custody trade and cash transaction in a timely and accurate manner.

Key Accountabilities :

1. Ensure a high quality of customer service is provided to all internal and external clients

  • Assist in the effective management of client relationships by developing and maintaining a thorough knowledge of each relationship and their administrative requirements
  • Contribute to the improvement of service levels and department reputation by maintaining a high level of responsiveness to clients
  • Proactively liaise with internal support groups (eg. GWO, CWM Operations, to resolve issues)
  • 2. Ensure a high degree of operational efficiency, conform to Bank regulations and ensure that risk inherent with securities administration is understood and controlled :

  • Effectively and accurately administer and process client requests and authorized instructions, including accounting entries, asset transfers, payments to third parties, and trading activity
  • Determining daily cash sweep requirements and executing same in a timely manner, meeting all internal cut-off times
  • Process cash, trade and f / x instruction with a high degree of accuracy
  • New account opening, review and set up files in a timely manner
  • Monitor activity and cash positions in client accounts ensuring adherence to policy & procedure while identifying unusual account activity and keeping the senior manager apprised of all significant and ongoing issues
  • Managing the timely and accurate opening of new accounts and transfer of assets
  • Proactively manage the resolution of operational problems, taking appropriate action to prevent recurrence
  • 3. Contribute to the profitable growth of Custody Services by :

  • Ensuring all fees are being charged, and identifying other fee opportunities
  • Identifying cost saving opportunities and preventing financial losses due to administrative errors
  • 4. Develop technical knowledge by :

  • Continually expanding basic knowledge of the securities industry, securities administration processes and regulation, policy & procedure
  • Assisting the senior manager and the department in projects and initiatives
  • 5. Perform other duties as assigned by the senior manager

    Functional Competencies :

  • Working knowledge of securities administration
  • Working knowledge of registered products (RSPs, RIFs)
  • Sound time management skills.
  • Excellent interpersonal and communication skills required to communicate effectively with Key Contacts.
  • Good research skills coupled with an ability to effectively analyze data in support of problem resolution.
  • Sound working of accounting principles.
  • The incumbent must be a self-starter and goal oriented.
  • Experience / Education :

  • A university degree or the equivalent industry experience.
  • Experience in the financial / securities industry conventions, procedures and related internal policies and procedures with some expertise in Trade and Settlement Processing and Cash Processing.
