Job Summary

The Project Coordinator will provide support to the Program Management Office (PMO) and its multitude of projects. The incumbent will be responsible for coordinating all the project activities internally within AFL as well as with AFL subcontractors and support the Project Managers and Program Managers in their daily project activities.

Furthermore the Project Coordinator will ensure the processes and procedures are adhered to and act as a junior Project Manager as and when required.

Specific Responsibilities and Resulting Outcomes :

  • Create project schedules based on requirements set by Project Manager
  • Coordinate project schedule updates with internal and external stakeholders from a variety of departments, including field teams and subcontractors
  • Maintain project schedule with appropriate document controls including distribution and tracking approvals for documentation purposes
  • Provide project schedule updates including highlighting any deviations or slippage to Project Manager / Program Manager
  • Provide appropriate and timely communication of schedule to applicable stakeholders
  • Manage data storage and ensure appropriate access to the PMO team as necessary
  • Participate in process development as required
  • Document, distribute and oversee the implementation of processes for required stakeholders
  • Assist in communicating process changes and updates to required stakeholders
  • Support the Project Manager in risk mitigation which includes preparing and maintaining the project risk register
  • Create and track escalations in collaboration with the Project Manager
  • Responsible for financial management including quote creation and revision
  • Responsible for project margin setting as per work type
  • Responsible for margin variance identification and justification
  • Responsible for billing and invoicing related to specific project work
  • Create financial reports for PMO leadership team
  • Create and track financial performance against projects Key Performance Indicators (KPIs)
  • Promote and act in alignment with the AFL mission, values and goals
  • Protect AFL’s values by keeping information confidential
  • Enhance AFL’s reputation by accepting ownership for accomplishing requests and exploring opportunities to add value to job accomplishment
  • Adhere to and promote the environmental, health & safety policies of AFL
  • Help build and maintain positive relations within the team
  • Employee may be asked to perform other ancillary or related duties as required, to meet the ongoing needs of the organization
  • QUALIFICATIONS Knowledge & Experience

  • 3+ years’ relevant work experience in coordination and / or administration
  • University Degree considered an asset
  • Strong interpersonal skills with written and verbal fluency in English
  • Proficient in MS Office specifically Excel, Word, Visio, Access, and Power Point
  • Proficient in Adobe
  • Technically proficient with a demonstrated ability to work effectively with various and proprietary software
  • Knowledge of key principles of document layout / engineering design
  • Business English / Technical Writing skills including note taking / minutes-writing considered an asset
  • Familiar with budgeting practice and processes
  • Solid understanding of financial and account principles
