The role provides a support function to the district to enable the DVP to focus on delivering financial results. The DAA is typically responsible for coordinating meetings, organizing events and performing administrative, payroll and / or business continuity activities that support banking centres within a designated district to continue operations. What You’ll Be Doing
Organize the office of the DVP using independent judgment, discretion and diplomacy, and make day-to-day administrative and operational decisions on his / her behalf with the DVP’s direction
Co-ordinate and prioritize the daily activities of the DVP, identifying potential problems and shifting priorities
Prepare correspondence, memos, minutes, and reports / presentations from verbal instructions, handwritten material, or from various CIBC systems and platforms.
Sensitive to confidential information
Compose letters, memorandums and reports / presentations on behalf of the DVP by identifying required information, researching background information, gathering and compiling data from multiple sources
Screen and evaluate incoming emails received and prepare responses as appropriate. Determines what information is sensitive and informs the DVP accordingly
Receive visitors (internal to CIBC and external customers) and answering phone calls, providing information, and referring visitors / callers to appropriate individuals using judgment and professionalism
Maintain confidentiality and accountability of documents and information that may be of a highly sensitive nature
Co-ordinate meetings, events and appearances on behalf of the district. This would include making all travel arrangements, ordering food and monitoring the meeting to ensure maximum efficiency and accuracy
Arrange client meetings on behalf of the DVP and provide the DVP with briefings on appropriate background information
Communicate information with all level of management as directed by the DVP
Responsible for data entry into CIBC's human resources information system for new hires, transfers, changes and vacation information for all of the DVP’s direct reports
Follow-up with Banking Centres to ensure that relevant information is received in its entirety, accurately and in a timely manner
Respond to appropriate inquiries from managers, administrators and employees in a client focused and timely manner
Promptly respond to employees and Banking Centres as required to resolve problems
Ensure problems have a timely and accurate resolution
Run regularly scheduled and ad-hoc reports for the DVP and District management team as required.

Excellent problem solving skills with ability to identify the source of problems
Strong time management skills and ability to manage multiple tasks at one time
The ability to work under pressure and meet established service levels and deadlines
Proven ability to pay close attention to accuracy and detail is required
Must have excellent interpersonal (written and verbal) skills to work effectively with Banking Centres and successfully handle enquiries and empathize with their needs
