The WorkPlace Group on behalf of Sentry Fire Protection Services is recruiting for a full time

Office administrator Probationary Period :

Review to take place after probationary period.

Should all parties agree we will conduct a wage review and Pension & benefits will be implemented

Your Responsibilities : Assist the Regional Manager and Department Leads in coordination of Sentry Fire Protection Services requirements and efficiency of documentation control

  • Oversee day to day processes and paperwork adhering to deadlines as assignedDaily / weekly / monthly duties
  • Oversee office staff
  • Oversee Fire Division Departments (working with dept leads)Calendars, Efficiency, Open Orders, Billing
  • Work with other internal departments to ensure customer needs are met
  • Process & submit all weekly timesheets
  • Scheduling meetings within the office
  • Deal with and follow through on customer inquiries and complaints
  • Expedite orders with vendors and buyers to meet committed delivery dates
  • Fully utilize the computer system to investigate and track Quotes, Orders, Purchase Orders to completion
  • Maintain organization of the office and ordering stationery supplies
  • Maintaining the office condition and report Deficiency to Upper Management (with the JHSC)
  • Internal Audits / Process updates
  • Coordinate with I.T. as needed for support
  • Develop & then manage an office budget, ensure accurate and timely reporting Motivate, mentor & coach Staff Delegate and coordinate work tasks Performance Evaluations tracking notes throughout the year A / R Review

  • Accounting SystemAdding / Maintaining PartsQuoting CustomersSetup / Billing changes for customerKnowledge of Ariba Supplier Network (SAP online) is an assetAssist with our Transition to a new software (Foundation 3000)
  • Skills and Qualifications :

  • Computer Literacy Multiple internal systems. MS Office (Word, Excel and PowerPoint), Outlook.
  • Relevant Experience 5 years previous experience in Administration and Coordination of work processes and personnel.
  • Excellent influencing skills
  • Excellent interpersonal skills Valid driver’s license Competitive wage / employee benefits + pension
