What can you expect in this role?

Reporting to the Director, National Auto Claims this position performs a wide variety of administrative support services, ranging from complex to routine, all of which contribute to the efficient and professional operation of National Auto and Appraisal teams.

It is expected that you have a genuine appreciation for and understanding of protocol, discretion, confidentiality, and professionalism.

You must demonstrate initiative and be able to accept and assume responsibility and have the ability to interpret and make decisions in accordance with prescribed company procedures and practices.

Provide administrative and project support for the National Auto and Appraisal Claims Team Compile information, documentation, and reconciliation of expense reports Provide administrative support to the Directors and Management team Order supplies as required Back up, monitor and respond to shared mailboxes Create and maintain various spreadsheets required for monthly tracking and reporting Support the recruitment process and intake of new hires by working with various departments (HR, Technology Solutions, etc) Complete access requests as needed through IIQ Provide support to the team by arranging monthly meetings, creating, and circulating agendas, attending meetings, recording, and circulating meeting minutes and following up on outstanding items as needed Assist to create presentation material for the leadership team Organize meetings, including travel arrangements, accommodations, and activities Maintain workload within established guidelines and service standards Other general duties as assigned What do you bring to the role?

Post-secondary school education within an Administrative or Business field or 5 years equivalent experience Fluently bilingual - oral and wirtten (French and English) - would be an asset Knowledge and exposure to processes in a claim’s environment would be an asset Strong keyboarding and computer skills Advanced skills in MS Word, Teams, Excel, Power Point and SharePoint Experience with Oracle would be an asset You’re a professional, friendly and courteous in all interactions, whether with customers or co-workers You perform well in a busy operation and remain calm under pressure You’re self-directed You’re a team player adaptable to a changing environment You have strong written and verbal communication skills You have excellent time management and organizational skills This role requires successful clearance of a background check (including credit & criminal checks) We also take potential into consideration.
