Job purpose :
Leading the team of Executive Coordinators, you’re a coach and mentor. You empower the Executive Coordinators to support our Senior Leadership Team to make decisions that help propel the business forward.
You see all and use that insight to evolve the way things are done.
You are a champion of organizational skills and clear communication. With your keen eye for detail and your proven efficiency in managing multiple priorities, you provide exceptional administrative support to our senior leaders.
Those around you are set up for success by your prompt correspondence and proactive approach. Your natural adaptability allows you to flourish in an environment that often requires nimble rearrangements you are the definition of calm, cool and collected.
By providing stellar support to one or more individuals on the Senior Leadership Team, you efficiently :
prepare documents and presentations
respond to inquiries and phone calls
draft letters, arrange meetings and maintain calendars
follow up on action items
prepare and submit expense reports / cash reimbursement forms
create and maintain office documents such as budgets, reports, data sheets and presentation materials
prioritize workloads and keep people and teams on task
You effectively manage the logistics of an executive schedule - the preparation and execution necessary for this is second nature to you
You build relationships and create partnerships across the organization. You connect the organization to the Senior Leadership Team and visa versa.
In partnering with organizations both in and outside of the organization, you are an ambassador for Arc’teryx and create opportunities that otherwise would not exist
You have a not-so-secret skill as a travel agent, and find reporting such metrics to be your secret weapon to create future efficiencies
You see opportunities to improve the way things are done and seize the initiative.
You strategize, identifying road blocks and opportunities for improvement
You have 5 years plus of executive administrative experience
You have the ability to communicate effectively and in a positive and helpful manner
You have strong written and spoken English skills, computer skills, including working knowledge of Microsoft Office;
You have excellent time management skills and the ability to multi-task
You have strong emotional intelligence, discretion, and the ability to maintain confidentiality
You have the ability to work some evenings, weekends and holidays as they relate to the roll out of special events
You are proactive in identifying the root cause of issues, seeking the best (sometimes not the easiest) solutions with an unwavering commitment to do what is right
You remain highly flexible and adaptable when faced with ambiguity
You effectively balance autonomy and collaboration

You have a Bachelor's degree in related field
