This position is also responsible for assisting with records management, ensures compliance with records management, best practices regarding the physical security and handling of records, and manages records for the Legislative Services department.

This position must ensure the accurate classification of the records to ensure quick retrieval and proper records retention.

The position also liaises with Councillors, County staff, and members of the public and must, at all times, be productive and proactive to ensure the needs of Councillors, County staff, and ratepayers are met.

The ideal candidate will possess the following education, experience, knowledge and skills :

  • Post-secondary office administration diploma and experience working with office computers and business software, or an equivalent combination of education, training, and experience.
  • Experience in producing formal meeting minutes;
  • Knowledge of Council Meeting process;
  • Business English and grammar;
  • Knowledge of Municipal Government Act;
  • Working knowledge of the County’s records management policies and procedures including the classification and disposition of documents;
  • Solid understandingthe County programs in order to classify documents and records schedules;
  • Freedom of Information and Privacy Protection Act.
  • Ability to operate computer (MS Office) and good keyboarding skills;
  • Above average typing speed;
  • Ability to communicate tactfully, clearly, and effectively, and exercise mature judgment to deal effectively with customers and ratepayers and other County employees;
  • Ability to work independently and carry out responsibilities with a minimum of supervision while maintaining a good working relationship with Councillors and co-
  • workers in a high volume environment;
  • Ability to maintain a high degree of accuracy and consistency when preparing material;
  • Ability to work as part of team;
  • Ability to establish and maintain working relationships with a variety of individuals or groups;
  • Ability to manually sort, reproduce, shelve, file and retrieve files / materials;
  • Ability to produce accurate work within time constraints;
  • High degree of discretion, sound judgment and professionalism;
  • Good written, organizational, and time management skills;
  • Organize and manage concurrent tasks independently, keeping the supervisor, staff and colleagues informed of progress and significant issues;
  • Ability to ensure all work related information is kept confidential as per policy and in accordance with Freedom of Information and Protection of Privacy Act;
  • Ability to comply with records management practices as stated in the Records Management Policy.
