The Administrative Assistant will provide an array of administrative duties to support the designated branch office with the potential to support other branches as required.

Duties include general clerical and administrative work, scanning and projects as assigned. PRINCIPAL DUTIES & RESPONSIBILITIES

  • Provides assistance to adjusters; attaching enclosures on outgoing correspondence or reports; file management - schedule of loss tabulation, itemizing / recording / documenting receipts to correspond to schedule of loss, and printing photos
  • Opens and assigns new loss assignments, when required
  • Create and modify documents in Link and Microsoft Word, including time tracking, file notes and dicta typing, if needed
  • Opens and date stamps all incoming mail and couriers
  • Scans mail to the file when the file number is noted on the correspondence. If number is not indicated, search the Link system by name to obtain correct file number, note the number on correspondence and scan.
  • If unable to locate a file number, investigate further with adjusters to determine the correct file. Place scanned documents in adjuster's work bins

  • Completes payment request forms for office expenses and forward to manager for approval; once approved forward to for processing
  • Process all outgoing mail and couriers; maintain an ICS log book
  • Maintains an adequate inventory of office supplies for Branch use, ordering as necessary with approval
  • Setup and coordinate appointments for adjusters, meetings and conferences as required
  • Where required, acts as receptionist, answers phones during normal business hours,
  • Provides back-up support for other offices during lunch hours, vacations, or other authorized absences, as required
  • Additional duties as assigned QUALIFICATIONS
  • Administrative Business program preferred
  • A minimum of 3+ years administrative experience
  • Excellent computer skills and working knowledge of Microsoft Office, Word, Excel
  • Good verbal and written communication skills
  • Excellent organizational and time management skills
