Join us on this incredible journey! We are fully remote! General Summary : The Provincial Payout Specialist is responsible for maintaining daily operations / workflow and proactively planning and completing the closing of the Deal and paying out the Agent quickly and accurately.

He / she is responsible for distributing accurately the monies, in a deal and to follow the compliance requirements to officially close the transaction.

This person locates the cheque from the lawyer / notary and is responsible to receipt in the commission monies and pay the agent, as quickly as possible.

The Payout Specialist strives to pay out all transactions within 48 hours of receipt of funds. This is an extremely fast paced environment and candidate must be extremely organized and able to manage their time efficiently.

The Payout Specialist is a self-starter, is extremely thorough, has a need to complete tasks, is able to connect with all personalities, has an accommodating, supportive attitude, finds amicable solutions, doesn't take risks, follows procedures and policies, is non-confrontational, has strong attention to detail, and enjoys working with facts, figures and systems.

The Payout Specialist has the ability to work in front of a computer screen for extended periods of time and prefers a team setting.

The Payout Specialist has strong verbal skills, listens well and gets through the company paperwork accurately, quickly and is very organized.

This person is calm under pressure. Position Reports To : Sr. Canadian Administrator Major Duties & Responsibilities : Accurate, timely closing all transactions.

Each month prints out the upcoming closings for the month.Reviews the contract to make certain the Transaction is complete and that there are no glaring inconsistencies prior to proceeding with closing the transaction.

Every week pull closings and contact Lawyer / Notaries to confirm they have everything.Reviews and sends excess deposits to Lawyer / notariesNotifies Broker of missing paperwork.

Receipt commission cheques into Broker Wolf, makes all deposits after checking to make certain amounts match invoice.Deposit all commission cheques into bank.

Chase down commission cheques that have not arrived after 10 days put stop payment on those late after 14 days.Pay outside Broker, Create EFT’s for agentsAccurate, timely closing all transactions.

Collects Agent Receivables off each commission cheque Charges fee for garnishments, service & late fees Closes transaction in BW as well as in Enterprise.

Enters closing information into Lone WolfPrepares closing for payment and sends final TRS and EFT with each pay cheque to the agent.

Updates Skyslope Notifies Agent of closing.Verified MLS data shows Completed Documents cheques that are returned NSF. Each incident report must be identified and placed on the Google Drive.

Contacts Agents re : missing paperworkOn any errors to do with commissions and or the Trust Account - immediately notifies the Broker, Sr CDN Administrator and completes a completes an incident report which is cc’d to Broker, Finance Specialist and the Director of Canadian Brokerage Operations.

It is then placed in the appropriate Google Drive.Completes all Mutual Releases.Alert PAB for final review.Closes and archives transaction.

Qualifications : This is not an entry position. Preference is given to someone with 3-5 years of experience of working in real estate in BC, preferably as the administrator of a mid to large brokerage or a conveyancer of a mid to larger brokerage.

Must be able to accurately close a minimum of 300 transactions a month. Must be able to work in a very fast moving, dynamic environment.

Must have beginner experience of Accounting. Experience using Broker Wolf is an asset. Ability to competently work within EXCEL, Word, Power Point and Publisher is very important.

Ability to work inside the google suite of tools an asset. The eXp Administrator must be able to set a work schedule in place and complete the tasks at hand as well as field agent interruptions and questions, during this time.

When dealing with agents they are focused on forming strong, positive relationships. The Provincial Payout Specialist, must have strong verbal and communication skills, a zest for life and appreciation of all eXp offers.
