Job Description



Our client is looking for a Coordinator to manage their administrative and boardroomduties on a daily basis and to perform a variety of administrative and clericaltasks.

This position entails lifting, bending , reaching, pulling of items upto 40lbs. Our Coordinator’s duties include offering administrativesupport across the organization.

You will welcome guests and greet people whovisit the business. You will also coordinate front-desk activities, includingdistributing correspondence and redirecting phone calls.

To be successful as theCoordinator, you should have a pleasant personality, as this is also a customerservice role. You should also be able to deal with emergencies in a timely andeffective manner, while streamlining office operations.

Multitasking and administrative managementskillsare essential for thisposition. Ultimately, the duties and responsibilities are to ensure theall meetings are coordinated including preparation of all equipment, welcomesguests positively, and executes all administrative tasks to the highest qualitystandards.


Ensure meetingrooms are prepared and all equipment is functional and ready with all necessary stationery and material(e.

g. pens, forms and brochures)

  • Perform clerical duties such as booking boardroom events, preparing audio visual equipment all pertinent boardroom materials and maintaining inventory of office supplies.
  • Perform reception relief duties such as greeting visitors, and receiving and directing calls.
  • Stock assigned serveries with food supplies and keep all common areas clean and tidy
  • Implement and Coordinate office for virtual and agile use including monitoring employee use for policies and procedures for phone system, layout and information
  • Process copier / multi-functional equipment
  • Assist Office Services by identifying opportunities for improvement to processes and participate in monitoring key performance indicators and logging performance measures.
  • Sign for, record and direct all incoming Canada Post and courier deliveries
  • Maintain accurate records of deliverables and issues with the office equipment
  • Work in conjunction with supervisor to formulate process improvements for the department
  • Notify individual staff by e-mail or telephone of larger boxes and deliveries
  • Distribute supplies to client within thedepartment
  • Other duties as required
  • Skills / Qualifications :

    2 years office experience

    Technology expertise

    Proven work experience asa Front Office Representative or similar role

    Proficiency in MicrosoftOffice Suite

    Hands-on experience withoffice equipment (e.g. fax machines and printers)

    Professional attitude andappearance

    Solid written and verbalcommunication skills

    Ability to be resourcefuland proactive when issues arise

    Excellent organizational skills

    Customer service attitude
