Join us on this incredible journey! We are fully remote! Summary We are growing! We are looking for a highly driven, detail-oriented Real Estate Administrator to join our team of professionals.

This full-time position will deal with the flow of documentations and commissions involved in real estate transactions. Specifically, we are seeking the combined role of a Transaction Specialist and a Payout Specialist.

This is a remote position. Major duties & Responsibilities as a Transaction specialist will include, but are not limited to : Follows conveyance procedures as outlined by the Team LeadReviews documents submitted by agents.

Responsible for the accuracy of processing the deal files from the time the deal is entered to closingConfirms that all required / mandatory documentation has been submitted.

Confirms all data and commission amounts as well as Trust deposit details Notifies and follows up with agents on all missing or deficient itemsReceives confirmation at closing and notifies agentPrints weekly / monthly list of contracts closing and follows up on outstanding issuesReports outstanding issues to agents and Agency DirectorTracks all closings and follows up on payments that have not arrived Major duties & responsibilities as a Payout specialist will include, but are not limited to : Follow Deal Process from initial entry to payoutReceive commission funds from notary or lawyerPrepare any cheques received for eDepositCreate payment for agents by EFTAdd closing documents and final payout documents to file Close and Archive file.

With regards to Daily Processes : Review daily bank statement for deposits.Note and correct all returned cheques and / or EFTs.

Immediately notify Agency Director and Accounting of any issues.With regards to Monthly Processes : Set up all new agentsComplete and send reports to Brokers as required Requirements 3+ years of experience working in real estate administration preferred3-5 years of experience in real estate transactions processingBilingual EN / FR Senior experience in transactions and payoutsExperience using EZMax and Centris as well as related Real Estate Programs is essentialMust be comfortable working in a high volume, fast paced environmentMust have strong verbal and written communication skillsMust be responsible, dependable, and trustworthyMust be task-oriented, detail-oriented and organizedMust be a great team player and have the ability to build relationships with agents, lawyers, notaries, Agency DirectorMust be able to work well under time constraints to complete tasks Real Estate conveyancing experience strongly preferredExperience in Accounting / Bookkeeping is considered an assetExperience using Lone Wolf Back Office, Skyslope, Google Suite, Excel, Publisher, PowerPoint is considered an asseteXp World Holdings is an equal employment opportunity employer.
