Responsibilities :

  • Maintain department intranet Exchange contentCompile content for draft Quarterly Report, send to designer, post on the Exchange
  • Department email blasts and Yammer posts as directed by Vice President or department Sr. Leaders
  • Maintain sections of Dept. Ops Corner on Team SharePoint site
  • Schedule and organize monthly department virtual meetingsWork with Vice President to complete and distribute AgendaMaintain milestone service datesOrder and distribute milestone service pinsTake and distribute minutes
  • Schedule and organize department and functional team in-person meetings
  • Schedule and organize functional meetings as directed by Sr. Leadership
  • Monitor Survey Monkey & respond to submissions
  • On-boarding / Off-boarding department staffOrdering new or replacement IT toolsIntroduction to department functional leadersSystems orientationUpdate job aidesUpdate the department Team Member List
  • Work with P-Card / Ghost Card Liaison
  • Maintain department FedEx Account
  • Open and route department email
  • Database and process support
  • Upload documents to databaseData entry in databaseRun and distribute reports from databaseCreate database alerts for document distribution and abstract review sign off
  • Scope : Extensive knowledge of the job. Comprehensive acquaintance with both general and specific aspects of the job and their practical application to complex problems normally encountered.

    Contacts are frequent with individuals representing other organizations or individuals of significant importance within organization.

    Qualifications :

    Education : High School or equivalent required.

    Experience : Minimum 7 years related experience or equivalent combination of education and related experience required.

    Management Experience : N / A

    Skills & Abilities : Excellent verbal and written communication skills. Proficient in personal computer use and Microsoft Office Suite.

    Proficient typing skills required. Knowledge of organizational policies and procedures that relate to operations within assigned organizational unit is preferred.

    Ability to prepare and edit complex documents is preferred. Ability to work on a team.

    Travel : May require some travel

  • Combination of candidate’s education and general experience satisfies requirements so long as the total years equate to description’s minimum education and general experience years combined (Management experience cannot be substituted).

    The employee must frequently lift and / or move up to 15 pounds and occasionally lift and / or move up to 30 pounds. Specific vision abilities required by this job include close vision, distance vision, color vision, peripheral vision, depth perception and ability to adjust focus.

    The work environment will consist of moderate noise (i.e. business office with computers, phones and printers, light traffic).

    The employee must have the ability to work in a small cubicle and have the ability to sit at a computer terminal for an extended period of time.
