The HRMS System Specialist will be responsible for the implementation, administration, liaison and coordination of the UltiPro Human Resources System in meeting all professional standards for human resources and systems development and implementation.

With a focus on production support, release management, business process efficiency, reporting, and analysis, this position is critical to the execution of HR systems strategy and supporting UltiPro at MDA.

The HRMS System Specialist (UltiPro) is a vital member of the Human Resources team and reports directly to the Director, Total Rewards.

The HRMS System Specialist (UltiPro) will be responsible for the design, implementation, administration, liaison and coordination of the UltiPro Human Resources System in meeting all professional standards for human resources and systems development and implementation.

With a focus on production support, release management, business process efficiency, reporting, and analysis, this position is critical to the execution of HR systems strategy and supporting UltiPro at MDA.

The individual in this position serves as a Subject Matter Expert (SME) of our HRIS UltiPro system and ensures process efficiencies that serve the needs of all users.

The HRIS Analyst supports the UltiPro platform including HCM, Benefits, Recruitment, Absence, Talent Management, Advanced Compensation, and other modules, including Payroll.

The HRIS Analyst collaborates with various functional areas to provide HR system administration and support.

Ongoing goals will be to continuously align, improve and modernize the HRIS System to improve program reporting and business performance.

Responsibilities

  • Design, implement, administer and maintain all configuration and data within UltiPro and other HR systems to ensure data integrity and efficient and consistent processes.
  • We are moving from Workday, Kronos Time, and ADP to the UltiPro BI tool (IBM Cognos) for the complete HRMS system for the employee life cycle.
  • Collaborate with the broader HR team to analyze work process design and flow, ensure adherence, and develop an understanding of new features as they become available.
  • Provide support for HRIS, including researching and resolving HRIS problems, unexpected results or process flaws and recommending solutions or alternate methods to meet requirements.
  • Coordinate integration of multiple platforms, vendor products and technologies.
  • Create and manage various reports for payroll processing (bonus, merit increase, etc.)
  • Systems familiarity with paperless processing of Federal and Provincial tax forms and other employment documents.
  • Interface management with UltiPro and vendor systems (benefit census data and demographic reporting).
  • Monitor and ensure the integrity of employee and company HR data, through the development of processes for auditing and validating.
  • Institute system best practices within the HR team to maintain data integrity.
  • Create, edit and prepare regular reports and dashboards on workforce metrics. Supports ad hoc reporting requests as necessary.
  • Develop training materials, and educate employees and new system users on functionality.
  • Conduct the review, testing, and implementation of new HRIS modules.
  • Serve as escalation point for HR team on researching and resolving system or integration issues and unexpected results or process flaws.
  • Works with HRIS resources as appropriate to seek resolution.

  • Maintain system knowledge through participation in user conferences and local user groups.
  • Lead any and all future implementation.
  • Support various HR team initiatives and projects as applicable.
  • Requirements

  • Bachelor's Degree in Human Resources, Management Information Systems, or other relevant subject or equivalent experience
  • Experience working with Ultimate Software (UltiPro) or UltiPro BI, Kronos Time, ADP
  • The ideal incumbent will have 5 years of experience working with an HRIS System with a minimum of 3+ years of Human Resources experience, with proficiency across key areas of HR, such as Benefits, Compensation / Payroll, Time Tracking.
  • Experience with data analysis and visualization (Advanced Excel, Tableau or similar tool)
  • Strong multi-tasking and prioritizing skills with the ability to meet deadlines.
  • Demonstrated ability to work autonomously and as a member of a high performing team
  • Discipline to work with highly confidential information and the ability to analyze data input / output for accuracy and effectiveness
  • Ability to collaborate broadly with peers and stakeholders
  • High motivation with a proven ability to adapt quickly in dynamic environments
  • Demonstrated strong technical reporting skills across a wide range of Lines of Business
  • Excellent written and verbal communication skills
  • Solid organizational skills including attention to detail and multitasking
