Job Summary :
The Accounts Payable Manager will oversee an accounts payable team, direct the processing of invoices and payments, and manage expense accounts and budget reports.
Supervisory Responsibilities :
Trains and supervises employees involved in payable functions (team of 5).
Directs assigned tasks and provides assistance as needed.
Assists with performance evaluations.
Responsible for the hiring of direct reports.
Duties / Responsibilities :
Works closely with Treasury to oversee reports regarding cash flows; ensures correct payments are made in a timely manner.
Develops guidelines for proper handling and coding of invoices to maintain general ledger expense accounts.
Analyzes expense reports and other invoices for accuracy and eligibility for payment.
Verifies payments before the controllerâ€™s signature is added by reviewing checks and vouchers.
Becomes the champion and go-to person for the Companyâ€™s purchase order requesting system.
Responsible for implementation and oversight of the travel and expense software module.
Reconciles accounts payable total and general ledger with other applicable records (e.g., subsidiary vendorsâ€™ ledger).
Review of monthly bank reconciliations with the corporate controller.
Maintenance of Corporate credit card programs, monitoring of balances and payments.
Ensures proper recordkeeping of purchases for use in tax preparation and periodic audits.
Ensures employer identification numbers or social security numbers have been collected from all vendors for the payables clerk to prepare and submit 1099s.
Ensures proper maintenance, filing, and storage of records in case of audits.
Performs other related duties as assigned.
Required Skills / Abilities :
Excellent verbal and written communication skills.
Proficient in accounting software (SAGE Accpac an asset) and Microsoft Office Suite or related software.
Ability to work in multiple databases, pull information and analyze results
Thorough understanding of accounts payable functions.
Excellent understanding of accounting and entries.
Excellent supervisory and analytical skills.
Excellent organizational skills and attention to detail.
Ability to motivate staff.
Ability to think â€œoutside the boxâ€ on workflow and process improvements
Education and Experience :
Bachelorâ€™s degree, Accounting or Business Administration preferred, with five to ten years of experience in an accounting office or related field, including five years in a managerial or supervisory capacity.
