SUMMARY :

The Property Administrator is a key member of the Property Management Team and provides administrative support to the Property Management Zone (PMZ).

Reporting to the Senior Property Manager the incumbent is responsible for a variety of services related to the operation of retail and commercial properties inclusive of but not limited to bank deposits, Accounts Receivable (A / R) reporting, Accounts Payable (A / P) processing, budgeting, supplier invoices, rent roll review and production, tenant liaison and communication.

PRIMARY RESPONSIBILITIES :

  • Prepare, process and pay of P.O.s.
  • Day-to-day management of accounts payable issues and supplier invoices.
  • Provide administrative support for the Director.
  • Liaise with property accountants for expense related issues.
  • Liaise with operations team to facilitate smooth day to day site activities.
  • Coordinate programs inclusive but not limited to lighting, inspections, leasing / broker, broker tours etc.
  • Set up and monitoring of vendors and contracts
  • Assist the Property Manager in monthly budget / expense variances, forecasts and annual budgets.
  • Accounts receivable reporting and support; bank deposits and form filling.
  • Review / production of the monthly rent-roll.
  • Administer and monitor service contracts in addition to the review of vendor / contractor performance.
  • Liaise with property accountants, lease administrators and legal to ensure the accuracy of information.
  • Tenant document control and tenant liaison and communication.
  • Reception duties including the answering and dispatching of telephone calls, receipt and distribution of mail etc.
  • Oversee boardroom bookings and facilitate office services.
  • Dispatch maintenance and security to tenant calls
  • Perform other duties, as assigned.
  • KNOWLEDGE, EXPERIENCE AND SKILLS :

    Required level of education and job-related experience :

  • Completion of college in a related field or accounting
  • three (3) to five (5) years of commercial / retail property administration experience.
  • Specific Skills :

  • Proficiency in accounting and financial management (A / P & A / R).
  • Strong customer service orientation.
  • Excellent planning and organizational skills.
  • Strong software application skills (MS Office).
  • Effective interpersonal and conflict resolution skills.
  • Strong written and verbal communication skills.
  • Strong Excel skills.
  • Ability to work well under pressure, multi task and meet deadlines
  • Ability to work independently, as well as within a team.
