The Marketing Services Manager at HDR has a thorough understanding of generating winning, professional and competitive proposals with a strategic, creative, process-driven and organized approach.

The role supports the growth and success of the Transportation, Water and Resources business groups. This leader is responsible for the efficient operation of a decentralized proposal preparation and marketing services team.

The direct reports may include proposal managers, coordinators, graphic designers, and additional specialists.

Role Description

The Marketing Services Manager will have the following responsibilities :

Team and Pursuit Management

  • Ensures that the schedules in proposal submissions are met and that various aspects of the proposals (technical scope, staff qualification and experience, biographical data, government forms, contract terms and conditions) are properly presented in a timely fashion while meeting top quality standards.
  • Responsible for the efficient operation and workload management of the proposal preparation and graphic design team.
  • Monitor and manage the staff to coordinate and complete all or any part of proposals and presentation documents.
  • Mentors proposal managers, coordinators and graphic designers on improving proposal execution processes, and procedures while enhancing the use of production tools and software.
  • This includes inter-personal communication, personal time management, and conflict management strategies.

  • Partners with marketing communications team to develop and promote business group communication and messaging of key wins, key hires, accomplishments and other important events and deliverables.
  • Assists market sector leadership in the coordination and analysis of marketplace, client and project-specific research
  • Conducts routine performance appraisals for team members
  • Proposal Execution

  • Actively manages the proposal and presentation process from start to finish consistently applying best practices, including design, writing, editing, layout and production and engaging appropriate business development resources to support these pursuits.
  • Establishes and directs the use of proposal schedules, assignment workload dashboards, compliance matrices, and proposal templates.
  • Data, Collateral and Material Management

  • Supports activities to keep standardized business development and presentation materials, resumes, project data including histories, photographs, images up-to-date and current using in-house enterprise systems adhering to Information Lifecycle Governance (ILG) requirements.
  • Partner with various HDR marketing communications teams to prepare company-wide sector qualifications and marketing collateral materials in compliance with company writing and branding standards and in alignment with the market sector’s strategic plan and vision.
  • Develop materials such as interactive presentations, leave-behinds and other brand-specific deliverables to help team members communicate key messages.


    Required Qualifications

  • A high level of attention to detail, an ability to meet deadlines and work well under pressure with cross-functional teams in a collaborative, professional environment.
  • Demonstrated strong written and oral communication skills.
  • Strong organizational skills and an ability to prioritize and complete simultaneous projects with minimal supervision.
  • An interest in and ability to understand the business environment, including industry terminology.
  • Enthusiasm and dedication to the development of a professional services proposal and marketing career.
  • Sound professional judgment / demeanor.
  • Experience managing a team that faces numerous and simultaneous deadline-driven assignments.
  • An attitude and commitment to being an active participant of our employee-owned culture is a must.
  • Proficiency in Microsoft Office (Outlook, Word, Excel, PowerPoint) and Adobe (InDesign, Photoshop, Acrobat Pro). Experience in CRM programs highly desirable.
  • Bachelor’s degree and a minimum 10 years of related business, marketing, communication, public relations, or journalism experience preferred.
