A.S.P. is looking for a Front Office Administrator who will undertake all receptionist and clerical duties at the desk of our main entrance.

A successful candidate will be required to work with integrity, respect, and take responsibility to maintain confidentiality.

What you will do :

  • Providing operations support to the managers
  • Prepare and communicate schedules to different clients
  • Inventory management keeping track of uniforms and equipment
  • Maintain supplies inventory by checking stock to determine inventory level, anticipating needed supplies; placing and expediting orders for supplies;
  • verifying receipt of supplies

  • Prepare and / or review standard correspondence and edit, product and format reports, memos, emails, presentations and other documentation
  • Monitor office supplies and place orders when necessary
  • Support the operations team by scheduling meetings, preparing agendas, developing minutes and maintaining pending action list and follow ups.
  • Produce department communications and work with internal communications to distribute messages to employees
  • Maintain computer and manual filing systems
  • Some reception duties as required such as greeting and welcoming visitors, clients, employees and applicants, answer incoming calls and redirecting them to the appropriate departments
  • Assist with preparation of spreadsheets, presentations, and documents
  • Other duties as assigned
  • Who you are

  • Proven experience as an administrative assistant or an office administrator
  • Knowledge of office management systems and procedures
  • Working knowledge of office equipment, like printers and fax machines
  • Advanced knowledge and experience in MS Office especially MS Word, Excel, Outlook and PowerPoint
  • Strong communication (spoken and written) and people skills
  • Excellent time management skills and ability to prioritize work
  • Good organization and multi-tasking abilities
  • High school diploma; additional qualifications will be a plus
