Position Statement :
Under the supervision of the Director of Sales and Marketing, this front line professional position will be responsible for administration of the department.
This includes all properties managed by ResortQuest Whistler, including the Coast Blackcomb Suites and the Whistler Peak Lodge (formerly the Holiday Inn Whistler).
Responsibilities include but not limited to maintenance of existing accounts, development and qualification of new accounts, maintenance of revenue goals and active participation in facilitating the promotion, sales and booking of our company's products and services.
This position will be based out of the Coast Blackcomb Suites office, and is full time based Monday-Friday from 9 : 00am-
5 : 30pm (with half hour unpaid break), however must be able to work a variety of shifts including early morning, daytime, evenings, weekends and holidays as required based on business requirements.
Acts as a support to the Director of Sales and Marketing
Support direct sales and group effort through administration of sales contracts, entering rooming lists, client correspondence for IT and Group sales
Assist with management of Tour & Travel reporting and contracting.
Day-to-day FIT & group block management and preparing stop sales when required.
Maintain and manage FIT / Group filing system
Responsible for all Whistler Event contracts and group administration
Represents the property at special events as required.
Responsible for managing all consortia and association agreements
Acts as a point person for groups arriving to the hotel and facilitate when required.
Manage proper group follow up with letters of appreciation and reconciliation.
Responsible for site inspections and Fam’ visits / tours when requested by Director of Sales
Act as lead sales contact while DOS on sales trips or attending trade shows
Communicating ongoing sales activities and promotions to all front line staff
Weekly and daily report support for Director of Sales
Maintains working relationship with FIT operators, Coast, RRW, and Whistler.com call centers via constant communication, incentives, and sales training visits to offices.
Manage of all contra and Gift Certificate facilitation including reservations and administration.
Perform other duties or projects as assigned.
Manage content including description and images for all partners including tour operators and OTA websites.
Preparation of marketing e-blasts under the direction of the DOS.
Working in conjunction with Group Sales Coordinator and Sales Manager
Skills / Knowledge / Experience :
3+ Years hospitality experience
Strong knowledge of hotel / property management operations
Excellent communication & organizational skills
Ability to work well under pressure & changing situations both independently and in group environment
Committed to guest service
Excellent telephone manner and etiquette are required
Experience with computer applications such as Microsoft Office, Outlook, and Social Media applications
Ability to do thorough research
Strong organizational skills and time management skills are essential
