Thesuccessful candidate will be accountable for providing day day-to-dayadministrative support to the VPO through activities such as :
Preparingagendas and briefing materials for senior leadership meetings; attend meetingsand record minutes with action items and carry out appropriate follow ups
Maintain strong workingrelationships and act as the main point of contact with clients, and employees
Conductresearch, compiling data and preparing documents to provide the VPO inpreparation for his meetings
Document management file and retrieve corporate records, documents, and reports
Use the ERP system torecord time / expenses and run reports
Reconcilingexpense reports on a monthly basis
Performing administrative responsibilities including maintaining filing systems and databases, managing schedules, booking meetings and travel, processing incoming / outgoing mail, recording and distributing meeting minutes;
Provide generaladministrative duties and support or drive ad hoc projects as required
Maintainthe strictest confidentiality and integrity.
University degree (Business orBA preferred);
Minimum of 5 years’ experience in an administrativerole, preferably at the C- Suite level;
Professional level written and oralcommunication skill. Bilingualism (English and French) is an asset;
Advanced user of Microsoft Office (Word, Excel and PowerPoint) to compile reports, letters, presentations, charts and graphs;
Experience with Deltek ERPproducts and Ceridian are assets;
Ability to multitask,prioritize a heavy workload, possess creative problem skills, and be solutionsfocused;
Strong research and technical writing skills,ability to present information concisely and clearly;
Experience working in asimilar capacity in a Consulting, Engineering, or Science firm preferred.
