The Administrative Associate will be responsible for day to day administration functions which include : acting as a liaison in our relationship with various vendors, financial administration consisting of invoice reconciliation, invoice preparation and basic accounts receivable and payable functions.

It also includes day to day customer service responsibilities of the National Administration department, parts sourcing for units in for repair and servicing and monitoring of vendor timelines while ensuring task guidelines and other KPIs are maintained.

The incumbent will develop and maintain vendor relationships and will track revenue from multiple sources.


  • Create requisition orders for consumer electronic repair parts from various vendors. Maintain ETA’s on orders and verify information is accurate
  • Follow up with open orders and expedite or obtain credit for backorders
  • Be the first point of contact for vendors via e-mail and phone; work closely to ensure agreement guidelines are upheld
  • Handle and resolve escalated customer complaints and obtain and evaluate all relevant information to handle inquiries and complains in a timely manner
  • Keep records of customer / store inquiries
  • Respond promptly, accurately and professionally to customer inquiries via phone and store inquiries via e-mail
  • Handle difficult customer calls including estimate disputes, warranty claims and extended ETAs on unit repairs
  • Prioritize vendors and orders while sourcing out the required parts through various on-line websites
  • Create ad hoc reports as required
  • Assist with preparation of department reports
  • Prepare purchase orders and financial entries
  • Conduct invoice activities and pay vendors
  • Acting as a liaison in our business relationship with various vendors in order to obtain credits for units eligible for return
  • Requirements

    All requirements are based on 1-2 plus years of experience and include, but are not limited to the following :

  • Ability to multitask, work in a fast paced environment and work well under pressure
  • Working knowledge of MS Office
  • Intermediate to advanced Excel knowledge would be an asset
  • Must be detail oriented and have excellent communication skills
  • Strong analytical and organization skills
  • Education

  • Diploma in office administration is preferred, although a combination of related training and experience will also be considered.
