The Receptionist will work out of our Abbotsford location. Typical working hours would be 8 : 30am to 5pm.
Core Responsibilities :
Answer and direct phone calls in a polite and friendly manner
Welcome visitors in a warm and friendly manner, and answer any questions visitors have
Maintain reception area and all common areas in a clean and tidy manner at all times
Operate standard office equipment on a regular basis, including a fax machine, a copy machine, and a computer
Keep detailed and accurate records of visitor requests and of calls received
Receive deliveries; sort and distribute incoming mail
Take inventory of supplies and restock as needed
Maintain the general office filing system
Day-to-Day Activities :
Assisting with phone coverage for incoming calls
Communicating with customers (insureds, adjusters, property managers, etc.)
Follow guidelines and standards set both internally and externally (by various Insurance companies we work with)
Follow up with all parties involved on a file (internal and external)
Generate and send various reports within our software systems
Managing multiple email accounts (yours and reception email).
Qualifications and Skills :
Ability to work in sensitive situations

Good typing (min. 50 WPM) and grammar
Knowledge in Microsoft Office Suite
Knowledge of construction industry and verbiage an asset
Multi-tasker, organized, attention to detail

2-3 years of relevant experience in an office environment
Able to type 50 wpm minimum
Comfortable multi-tasking and prioritizing tasks without guidance
