TalentWorld is recruiting an Administrative Assistant (Senior Clerk) in Toronto for one of our clients.

Are you a seasoned administrative professional looking for your next career opportunity? This job is for you! The Administrative Assistant (Senior Clerk) will be responsible for ordering, receiving, checking, issuing and storing materials, parts and equipment at various Commission properties.

Administrative Assistant (Senior Clerk) Responsibilities

  • Coordinating the section’s technical information storage and retrieval system, and providing administrative support to the section staff
  • Managing an extensive technical library of engineering drawings, contract documents, specifications, technical manuals and general correspondence files, and maintaining a master file list.
  • Arranging for off-site storage of closed files, maintaining a master list of off-site files / documents and retrieving same

  • Creating, preparing and updating spreadsheets and databases for tracking purposes, and preparing monthly status reports
  • Receiving, sorting and distributing departmental mail and arranging for courier services
  • Preparing, processing and monitoring purchase requisitions, and reconciling respective invoices to process payments
  • Preparing the Section’s weekly payroll and maintaining employee vacation records
  • Issuing employee passes, contractor property permits, keys, etc., and maintaining associated records
  • Coordinating and scheduling required training courses for Section employees (e.g. Subway / SRT Rule Book, etc.)
  • Maintaining records of work clothing issue; obtaining safety equipment / wear for Section employees, and maintaining associated records
  • Administrative Assistant (Senior Clerk) Qualifications

  • Sound knowledge of modern office administration, practices, procedures and equipment
  • Proficiency in the use of personal computers and software applications (e.g. Microsoft Office);
  • Must be detail-oriented and possess accurate data entry skills for inputting / transferring information from applications, correspondence and other documentation;
  • Excellent organizational skills to handle a high volume workload and meet established deadlines;
  • Good interpersonal and effective verbal and written communication skills to deal with a variety of internal and external contacts;
  • Must have or rapidly acquire a comprehensive knowledge computer applications related to the work (e.g. SAP, SuccessFactors, Maximo, OARS etc.)
  • Employment Details

    Employment type : 3 months (potential to be extended)

    Shift Hours : 7 : 00am-3 : 00pm

    Start time : ASAP

    Location : Toronto (must be comfortable working onsite)

    Pay : $18 / h
