THE TEAM : Finance and Members’ Benefits
The Finance & Members’ Benefits department is comprised of two distinct functions :
Finance is responsible for the financial planning, processing, reporting and internal controls of Doctors of BC and reviews the Association’s business risks and legislative compliance.
Membership & Benefits provides assistance to physicians when joining or renewing their annual membership and processes negotiated benefit payments to qualifying physicians in BC.
Staff are the first point of contact for all members and prospective members, taking inquires via multiple communication channels while providing a high level of customer service.
THE JOB : Membership & Benefits Administrator
Reporting to the Accounting Manager, the Membership & Benefits Administrator is responsible for a variety of functions including review, approval, processing and finalizing of applications to the following : Membership;
Continuing Medical Education Program (CME); Contributory Professional Retirement Savings Plan (CPRSP); Canadian Medical Protective Association Dues Rebate Program (CMPA);
Parental Leave Program (PLP); and Rural Education Action Plan (REAP).
WHAT SUCCESS LOOKS LIKE
Provide accurate and comprehensive information by phone, email, or in person to physicians and their authorized representatives regarding the advantage of membership, the various membership categories, the negotiated benefit programs, program guidelines, benefit payments.
In 2019 the department received 15,000 phone calls and 70,000 emails.
Provide website assistance to physicians to log into the site and find the relevant information.
Process membership and benefit payments for eligible physicians.
Run various month-end reports or on a as needed basis using the membership reporting system; and validate those reports thoroughly.
Accurately maintains and updates the Membership database.
Prepare and coordinate printing of new membership packages.
Prepare the membership renewal package and coordinate any changes and distribution of the renewal with the Information Technology (IT) and Communication & Public Affairs department.
Confirm various Section & Society dues to be included with the membership renewal package.
Review and test the membership renewal process on the website and work with IT on any changes.
Review new membership applications for accuracy, ensure membership eligibility criteria is met and follows up on outstanding information required before applications can be approved or dues processed.
Distribute information to CMA, Specialists of BC and BC Family Doctors regarding membership changes, reports, dues and payments.
Send list of new members to Sections & Societies monthly.
Send out physician practice announcement to targeted audience.
Review applications for accuracy and ensures the eligibility criteria are met, follow up on outstanding information required before the application can be approved in accordance with the established program guidelines.
Enter applications into the system and process manual adjustments.
Generate benefit payments, match payments to application forms and co-ordinate the distribution thereof.
Process void cheques and stop payments.
Coordinate RRSP confirmations with various investment companies.
Coordinate the electronic transfer of information between Doctors of BC and CMPA regarding the CMPA Rebate program.
Validate data sent by CMPA and resolve discrepancies.
Calculate admin fees for non-members and cancelled members.
Send out packages to physicians, including reminder notices, and communication as required.
Generate Membership and Benefits month-end reports and journals.
Prepare CMA, Societies and Sections & other payment requests.
Process and balance deposits.
Process and verify credit card and direct debit dues payments. Handle bank returns resulting from rejected payments, including NSF cheques.
Correspond with accountants regarding dues payment inquiries and anomalies.
Provide assistance with the year-end audits.
Provide information regarding the administration of programs and concerns raised by physicians.
Conduct research as requested on benefit and membership trends.
Prepare correspondence regarding committee decisions.
Provide general information to members or their authorized representatives, about membership, the benefit programs and other related topics.
WHAT YOU BRING
Completion of post-secondary diploma or technical training equivalent to up to 2 years plus 3 - 5 years of related experience (or an equivalent combination).
High level of computer literacy including comprehension of Windows based systems, intermediate level Word and Excel skills and email and internet capabilities.
Excellent customer service, interpersonal, verbal and written communication skills.
Proficiency with numeric analysis and data entry.
High degree of accuracy and attention to detail is essential, as well as having organizational and problem solving skills and the ability to demonstrate sound judgement.
Ability to multi-task, balance priorities, meet strict deadlines while working in a team environment.
Licenses & Certifications
