OfficeTeam is looking for a full-time Administrative Assistant with our client, a Global Real Estate Investment firm in Downtown Toronto.

The most successful candidates for this Administrative Assistant role will have excellent written and verbal communication as well as knowledge of office management systems and procedures.

Your daily duties will include, but not be limited to the following :

  • Schedule organize meetings, appointments and travel arrangements for two Senior Executives
  • Manager and coordinate two very active calendars
  • Receive and direct visitors and clients at reception
  • Answer, screen and transfer inbound phone calls
  • Run occasional personal errands and complete forms and personal paperwork for executives
  • Prepare and amend documents including correspondence, reports, drafts, memos and emails
  • Record, compile, transcribe and distribute minutes of meetings
  • Answer, screen and transfer inbound phone call
  • Ordering and scheduling office supply deliveries
  • Help in organizing and overseeing group events / scheduled meetings for the office
  • Receipt and processing of office cost invoices
  • Qualifications

    The attributes and education required for this great opportunity includes :

  • Post-Secondary education in a professional field
  • 3+ years of experience in an administrative support role
  • Experience booking flights and coordination business trips a distinct advantage
  • Knowledge of office management systems and procedures
  • Proficiency in MS Office (MS Excel and MS PowerPoint, in particular)
