Regular positionReporting to the Artistic Director, the Artistic Assistant supports the Artistic Director and the artistic team with daily show maintenance as well as with artist and artistic team management activities.
General responsibilities related to shows : - Support the AD regarding daily show quality maintenance;- Help ensure that the show meets and maintains the high-
quality standards established at the time of the stabilization of the work in terms of artistic and acrobatic performance, initial concepts of staging, choreography, cues, musical score,costume, make-
up, lighting and sound design;- Communicate with all performers to ensure that they are familiar with and up to date on the show content and the specifics of their role and cues in order to maintain high-
quality artistic performances;- Provide regular feedback, pass artistic notes and do video sessions in accordance with the vision of the AD;
Assist the AD in liaising and regularly following up with coaches, Stage Management and the Technical team;- Implement and follow up on artistic, acrobatic and technical adjustments, modifications and recommendations to various components of the show, as requested;
Working in collaboration with Stage Management, help prepare the weekly plan for artistic scheduling, including training, staging rehearsals, and rotations of cues and acts;
Replace the Stage Manager on a rotationalbasis and in his absence;- Working in collaboration with Stage Management, ensure that the written and visual artistic documentation of the show is created, updated and archived;
Support the preparation of and participation in media events (lead as required) : - Coordinate media events and liaise with the Publicist, GSM and all other relevant artistic and technical departments;
Plan and organize artist preparation for acts performed during promotional events, galas, TV shows or other special events;
Organize workshops for artists with local or invited guest teachers / specialists. Responsibilities specific to artist management : -
Support the AD in the selection of new artists (i.e. process and logistics follow-up with the various on-site or external stakeholders involved);
Follow up with the Project Coordinator (SQI) concerning new artists’ travels, movements and immigration;- Follow up with the Studio (FDA) for training goals and priorities for new artists, as requested by the AD;
Organize the integration of new performers into the show, as well as that of performers returning to full duty after medical rehabilitation, so as to maintain high acrobatic and artistic standards (including coordinating the logistics of newcomers’ arrival on tour, preparing the integration plan and following up on its implementation with all responsible experts);
Support the artist repatriation process and transmit information to the AD;- Assist the AD with disciplinary actions for artists by gathering, preparing and consolidating the required documentation;
inform the AD of any potential difficult or problematic cases;- Support the AD and Stage Management team in keeping artists’ Aurora documentation up to date in relation to conflicts, disciplinary meetings, lateness, etc.
Working in collaboration with the coaches, physiotherapists and SMs, prepare, document and keep records of each performer in terms of artistic progress, attitude and behaviour, for annual evaluation and bonus attribution purposes;
Help the AD prepare artist evaluations;- Supervise artistic captains and regularly follow up with them, in accordance with the AD’s vision.
Management responsibilities : - Assist the AD and artistic managers in the hiring of artistic team members (i.e. provide support during the process and follow up on -
logistics with the various on-site or external stakeholders involved);- Support the AD in planning, monitoring and integrating all new artistic team members;
Provide feedback to the AD regarding the artistic team’s performance;- Assist the AD with disciplinary actions for the artistic team by gathering, preparing and consolidating the required documentation;
inform the AD of any potential difficult or problematic cases;- Help prepare the artistic reports, providing information to the AD;
Produce the end-of-city report, collecting the other artistic departments’ input and delivering it to tour services in a timely manner;
Help the AD organize and prepare the agenda and follow up on artistic team meetings;- Represent the AD in his absence; manage artists and the artistic team, run the Tapis Rouge and HOD meetings, and participate in the CODI.
Financial responsibilities : - Plan, prepare and manage all workshops offered to artists, ensuring they are on budget;- Prepare invoices;
Assist the AD in the management and preparation of expense reports (Concur / PCARD);- Support the AD and the Head of Wardrobe in managing the Wardrobe team’s schedule.
The ideal candidate will have the following qualifications : - Degree in theatre, dance, acrobatics or a related artistic or performance field, or any other relevant work experience;
Minimum six years’ experience in artistic production or a relevant field;- Previous success in personnel and artist management;
Excellent problem-solving skills in a fast-paced environment;- Ability to adapt quickly to unexpected situations, variable schedules and tight deadlines;
Ability to influence others while showing genuine team spirit;- Proficiency using Microsoft tools;- Fluency in English, spoken and written, essential;
fluency in French or any other language an asset;- Availability to travel full time and work in foreign countries to which you are assigned;
