Purpose :

Reporting to the Manager, Industry Advising, the Team Lead, Client Services, coordinates the workflow for the Client Services unit of the Schulich Career Development Centre (CDC).

  • Responsibilities include : workflow organization, coordination, and distribution; requesting and screening YUSA 2 staff when required;
  • and, training, technical onboarding and casual staff scheduling.

    The Team Lead provides primary and full support for the CDC’s core on-line recruitment / contact management system (CRM), provided by external vendor(s).

    Duties include : troubleshooting complex user access issues, system customization, system reporting and diagnosis, configuration, and providing guidance to team members contributing to the efficient and effective use of core features within the CRM to meet the functional needs of the CDC.

    The incumbent coordinates and updates content on the CDC’s multiple web pages and portals on an ongoing basis in collaboration with the CDC Management, Corporate Relations, Coaching and Advising, Client Services and the Schulich Communications team.

    The incumbent frequently liaises and communicates with various Schulich stakeholders to ensure that CDC messaging and branding are consistent, and information and data required to perform departmental duties are reliable and accessible.

    The Team Lead, in the absence of the Client Services Coordinator, will coordinate financial processes, including payroll, contracts, and purchasing using the P-

    card, and tracks and monitors the budget and budget-related issues in support of the Director and Executive Director.

    Education :

    University degree in a related field (e.g. Business, Marketing, Communications), or an equivalent such as a related diploma (e.

    g. Graphic / Web Design, Event Management, Marketing), plus 1-2 years of directly related work experience in addition to the experiential requirements outlined below, or an equivalent of 4 years recent experience (defined as within the last five years) working at York University and performing the same or similar tasks.

    This education equivalency is in addition to the experiential requirements outlined below.

    Experience :

    Two years of recent, directly related work experience and responsibility in a variety of areas of business administration and / or communications (such as using mixed media, social media) and event management.

    Must have experience in customer service, information management, event planning, providing administrative assistance to senior level executives, exposure to corporate recruiters, and experience corresponding with global business and education leaders.

    Demonstrated advancement to more progressively responsible positions required and experience in high volume enterprises is preferred.

    Recent directly related experience, preferably in a post-secondary environment, having worked specifically in a finance role including : budget preparation and monitoring and the analysis and drafting of financial reports.

    Skills :

    Self-starter with excellent editing, writing, research, presentation, and messaging skills. Ability to balance multiple projects and deadlines without sacrificing detail.

    Must have strong interpersonal / customer services skills to deal courteously and effectively with various stakeholders (including corporate recruiters), share information and resolve issues.

    Ability to work independently and set own priorities and collaborate within a team environment. Work effectively under pressure of high volume within strict deadlines and demonstrated reliability.

    Demonstrated ability to elicit and provide information in a clear and concise manner. Able to communicate effectively and sensitively with multi-

  • cultural and diverse populations; strong ability to exercise good judgement and initiative; able to deal effectively, courteously, diplomatically with others including faculty, students, corporate recruiters, university staff and external vendors;
  • maintains confidentiality, working effectively both independently and as a member of a team. High energy and enthusiasm, positive and empathetic.

    Reliability, tact, diplomacy and the ability to maintain confidentiality are required for this role. Solid working knowledge of Internet-

    based technology management, contact management tools, and job posting technology are required. Must be able to input and maintain on-

    line employer and student databases, job postings, interview scheduling and statistical reports on-line and on-campus with Contact Management / Recruitment Software (e.

    g Orbis). Career Centre experience and / or recruitment experience with complete understanding of industry standards and best practices in these fields required.

    Advanced computer skills including experience in : MS Office Suite; knowledge and comfort with e-learning authoring tools like Storyline 360 and Adobe Captivate.

    Knowledge of HTML and Windows operating systems. WordPress, Adobe Illustrator, InDesign and Photoshop are assets. Prior use, knowledge and understanding of Customer Relationship Management databases (example : Orbis and Salesforce) are assets.

    Effective ability to communicate data to others, highlighting essential information. Excellent organizational, planning and event coordination skills.

    Effective prioritization of tasks in often competing time demands. Meticulous attention to detail. Excellent attendance and punctuality required.

    Demonstrated and proven understanding of financial concepts and terminology. Demonstrated high level of attention to detail and accuracy.

    Ability to read, understand and interpret financial information. Advanced level in Excel and Word. Demonstrated knowledge of accounting / financial database systems.

    Ability to accurately obtain, analyze and relay information in a clear and concise manner. Proven record of working with and maintaining confidential information.

    Willingness to travel via transit or by other means to employer locations, primarily in the Greater Toronto Area (GTA) is a requirement of this position.
