  • Duties and Responsibilities will include :

    Drafting Wills, Trusts and Powers of Attorney with precedents and based on lawyer and client instruction

    Preparing applications for Certificates of Appointment of Estate Trustee

    Managing advertising for creditors

    Preparing Estate Trustee / guardian / attorney accounts : all in court passing form

    Assisting in assembling information on assets and liabilities for estate administration purposes, including correspondence with financial institutions, CRA, executors, beneficiaries, and others

    Preparing releases, receipts, directions and other documents routinely used in estate administrations

    Managing on-going record keeping and preparing timelines and task lists for estate administrations

    Preparing and collating various pleadings and court documents (including drafting application records, motions for direction, affidavits and other documents involved in estate litigation, etc.)

    Coordinating, scheduling of court dates and other procedural matters with estates courts

    Managing and / or assisting with the organization and maintenance of the Wills Vault and addressing all requests pertaining to storing or retrieving Wills and other estate planning documents

    Preparing Estate Information Returns

    Communicating with banks, investment advisors, accountants and others in the administration of Estates.

    Engaging in file management (e.g. opening files, file reviews and etc.)

    Attending client meetings to take notes or to obtain further instructions / information on the file

    Preparing files for opening

    Meeting with lawyers regularly to ensure all files are up to date

    Preparing, and editing emails, correspondence, memoranda, reports, authorizations and directions, retainers, forms and other documentation

    General administrative duties, including but not limited to scanning, filing, printing, photocopying, scheduling appointments, performing administrative duties with respect to accounting, opening and closing files, docketing, billing, etc.

    Managing key dates and updating calendars for lawyers, including appointments, due dates and client-related activities Answering the telephone, routing callers, taking messages and providing routine information to callers


    Law Clerk diploma or working towards qualifications

    Minimum 3 + years of hands on experience as a Wills & Estates Legal Assistant or Law Clerk

    Experience with software : Emergent, Estate-a-Base, Excel, PCLaw, Word and Outlook

    A keen understanding of Wills, Estates and Trust Law

    Docketing and time entry experience are definite assets

    Ability to work independently with minimal supervision

    Works well under pressure, manage priorities and meet deadlines

    Excellent written and verbal communication skills

    Availability to work overtime, when necessary
