Title : Senior Associate

Division : Pharma Technical Supply Chain

Responsibilities :

The job purpose of the Senior Associate is to support the Leader of their respective division, along with their direct reports, in the coordination and organization of the various administrative duties, project work and meeting coordination to facilitate the smooth and productive operation of the functional department.

Provides administrative support :

  • Create and maintain organized filing systems
  • Maintain confidential records
  • Create / manage databases
  • Compose / prepare correspondence
  • Manage incoming / outgoing mail and calls
  • Prepare VP expense reports
  • Coordinate calendars; VP / Direct Reports
  • Design and prepare presentation materials
  • Arrange teleconferences, i.e. Webex, Telepresence, VC
  • Iron Mountain maintenance
  • Help Director team navigate
  • Office Management activities Office name plates, business cards, call tree maintenance, floor plan updating, Grand & Toy orders
  • Initiates and Coordinates project work :

  • Create agendas & minutes for various taskforces / meetings and coordinate follow-up of action items from team members
  • Coordinate the maintenance of the specific departmental intranet sites
  • Create & maintain budget spreadsheets, monitor departmental expenditures
  • Ad hoc project support (Project Management)
  • Design & prepare presentation materials
  • Prioritize and Organize Department and client meetings :

  • Research & select venue
  • Initiate contract & PO's
  • Catering needs,
  • Coordination of travel plans
  • Supervision of audio visual equipment
  • Tracking costs and payment for meetings, budget for meetings
  • Liase with vendors from creation to completion of meeting
  • Design and production of meeting materials
  • Qualifications :

  • High School, Bachelor's degree preferred
  • Must have 6-8 years of working experience in a senior level administrative position.
  • Ability to handle fast-paced work environment.
  • Strong ability to multi-task and proactively anticipate administrative support needs across multiple stakeholders in the department.
  • This position is not eligible for relocation support.
