ROLE SPECIFIC RESPONSIBILITIES

  • Customer Service and Retention Act where necessary to ensure superior customer service : research and follow-up on customer complaints or requirements that have been channeled to the Market area office.
  • Collaborate with National Operations Centre (NOC) and Regional Operations Support to trouble-shoot daily resourcing / delivery issues and liaise on staff scheduling and safety concerns.

    Initiate and track customer issues for others to resolve (in CASE) Follow-up on unprocessed orders and other issues to ensure local Market customer satisfaction.

    Promote superior customer relations through Market - targeted communications initiatives (e.g., Christmas cards, calendars, etc.

    Liaise with Sales support, including Regional Inside Sales and Pricing desk (regional and national)

  • Employee Administration and Communications Consult with Market Manager and Human Resources on documentation needs and discussions required for Progressive Discipline, hiring, transitions and terminations.
  • Process timesheets for submission to Payroll based on agreed-upon protocol. Approve employee timesheets in absence of Market Manager.

    Track vacation days and sick days taken by all Market area staff. Order and track uniform, glove, and safety equipment purchases for field personnel in assigned Markets.

    Organize meetings and conference calls. Update Market contact phone lists. Review monthly cell phone bills with MM; initiate any updates / changes with Office Services.

    Write meeting Minutes where required. Ensure Market communications to employees are made available. Gain sign-off documentation where acknowledgement of information receipt is critical.

  • Health & Safety Promote and enforce safety regulations and requirements by personnel under Market area management. Initiate Incident Reports for Market Manager to review, complete and sign-
  • off. Liaise with Fleet Manager re : motor vehicle accidents Receive STD / WSIB status reports from Human Resources to keep Market Managers up-

  • to-date and notify HR when modified work arrangements have been completed. Update MSDS sheets Complete monthly Minutes for area H&S meetings Schedule and track employee completion of H&S training;
  • update employee training folders Liaise with regional and national teams to ensure safety performance is achieved.

  • Reporting Review standardized reports as required. Produce ad hoc reports from various databases, as required. Recommend new report formats and timing in consultation with other Market Area Administrators.
  • Manage Market Administration Function Approval of accounts payable invoices up to $2,000.00 in value for each market area.
  • Affect continuous improvement and adjustments to plans, processes, and protocols when and where required.

    OVERVIEW

    Reporting directly to the region’s Business Manager, the Market Area Administrator is responsible for supporting Market Managers by way of alleviating the workload associated with various administration tasks related to their respective businesses.

    Responsibilities relate to providing front-line customer service and retention of customer accounts, in addition to back-

    line support for Market area employees, health & safety, and reporting needs.

    EDUCATION & EXPERIENCE

  • Minimum high school completion plus specialized or technical business courses at the College level.
  • Minimum one (1) year or less experience.
  • Good working knowledge of Microsoft Office products, including Outlook.
  • Previous JD Edwards experience is preferred.
  • Detail oriented, with accurate data entry skills.
  • Ability to work with minimal supervision, in a team environment.
  • Able to function effectively in a fast paced environment.
  • Excellent communication skills, both oral and written.
  • Excellent collaboration and interpersonal skills.
  • Good computer skills (Windows; MS Outlook; ERP, such as JD Edwards).
