    As Service & Warranty Administrator,

    your customer focus, organizational skills and attention to detail

    will play a vital role in

    building customer and team success

    with this expanding Moose Jaw organization!

    Enjoy the pace, as you interact directly with customers to prepare work orders, process information and collaborate with the service team, manufacturers and insurance representatives to meet customer needs! This includes :

    1.0 Customer Service Requests

    Serve as the key representative for customers requiring service, parts and repairs (walk-in primarily, phone and email).

    Provide administrative support, maintain accurate records and respond to telephone and in-person enquiries.

    Inspect vehicles / parts & accessories as needed to learn and understand customer needs.

    Open work orders for warranty, technical service / repair and billing purposes.

    Estimate the time and parts required for work orders. Obtain customer approval prior to proceeding, as well as pre-authorization from manufacturers for warranty claims.

    Confirm required parts are available through the inventory system, or order as necessary.

    2.0 Service Team Liaison

    Update work order board, and assign work orders / instructions to Service Technicians.

    Liaise with the service team and update the customer on the status of the work performed.

    3.0 Work Order Wrap-up

    Upon completion of the work, ensure all parts, time and notes of the work performed have been added to the work order.

    Prepare invoice for customer payment and / or b) submit claims to the insurance company; c) invoice manufacturersa for authorized warranty work.

    Process, close work orders and enter information accurately in the company computer system.

    Enter time cards daily and complete the daily work order spreadsheet.

    4.0 New Product Processing

    Inspect, take photographs and check in new vehicles for display and purchase. Make new key tags, create / maintain files and submit Dealer Acceptance forms.


    EDUCATION : Diploma / Certificate in Administration or Business is an asset.


    Related customer service or supervision experience in a fast-paced hospitality, retail or service driven environment is an asset.

    Previous service writer or warranty administration experience is an asset.

    An equivalent of education and experience will be considered.

    COMPUTER : Working knowledge of Word and Excel.


    An upbeat and positive attitude when providing solutions to customers. Excellent communication skills, both verbal and written; customer service focused.

    Highly organized, with the ability to multi-task and has a keen attention to detail.

    Builds and fosters lasting customer and business relationships.

    Confident and professional; able to work independently.

    HOURS OF WORK : Monday to Friday, 8 : 00 - 5 : 00.
