Position Summary :

The Role of IT Business Analyst is based in Canada IT and supports the Canadian Business. The Commercial IT an IT Business Analyst is responsible for working directly with various business units to identify, define, assess and implement initiatives aimed at process improvements and greater efficiency or effectiveness within the business.

This is achieved through utilizing the services currently being offered by Global IT e.g. SharePoint, as well as services provided by external parties such as Veeva CRM.

The focus is on continually delivering value to the business by leveraging technologies and best practices in alignment with business goals.

A trusted advisor and relationship manager, the IT BA is required to respond and proactively deliver to the Business needs whilst maintaining professionalism and maintaining a customer service focus.

The IT Business Analyst will be knowledgeable across a number of services, processes and modeling techniques.

IT Business Analyst is responsible for driving IT deliverables to address Business Requirements and collaborating within a global IT organization to align on the overall IT Strategy, acting as a global liaison between the IT team and the Canadian Business.

Responsibilities : Business Analysis and Customer Relationship Management :

  • Is a trusted advisor and key stakeholder. Partner with Stakeholder to identify Business Value needs and support the Business in developing Business Cases to support the investment
  • Create business cases and scoping documents to enable strategic decisions to be made
  • Partner with the Business to translate Business Requirements to IT Functional Requirements
  • Maintain SOPs, BPDs and Change Requests
  • Drive / actively participate in IT projects, providing business analysis expertise to accurately capture functional and non-
  • functional requirements for IT solutions

  • Skilled use of appropriate analytical tools and methods for process review, data analysis, process mapping, business requirements gathering and reporting recommendations
  • Develop and analyze Business Impact and Feasibility of initiatives at a strategic and tactical level
  • Partner with the global Infrastructure team to create technical specifications
  • Partner with the global systems integrators to deliver solutions
  • Partner with the Business on Testing and Validation activities to ensure system meets the business needs
  • Partner with the Business to identifying opportunities for the business to better leverage existing services and technology by recommending innovative solutions to the local business.
  • Interact with IT Project Management Office when new services are being delivered. Extend the reach of IT Project Managers, and perform / coordinate implementations.
  • Local Business Unit Support :

  • Ongoing functional support of local systems and services not provided by Global IT
  • Deliver technology related projects focused on process optimization and / or business unit operational efficiency and effectiveness
  • Define and ensure fulfillment of business deliverables from external vendor or solution providers.
  • Assist in projects and other responsibilities as required from time to time, locally and internationally.
  • Global IT Collaboration :

  • Concrete understanding of global IT strategy and local Business strategy and communicating and action this on a local scale
  • Manage Canadian Business initiatives and demand and collaborate with global IT to deliver on the agreed strategy and local requirements
  • Utilize the Technical Area Leads network and their strategies to identify cost effective solutions for the Canadian business
  • Partner with IT global resources on Cost, Resource and Planning estimates, gate 1 and gate 2 proposals.
  • Accountable for Local Demands and ensuring Demand is processed end to end from initiation to completion
  • Ambassador of Change : partner with the business to identify the people and process change requirements, as well as technology based requirements, to ensure project success, and lead Change Management activities within the organization and IT to support environment and IT related changes
  • Vendor Management :

  • Collaborate with global IT procurement sourcing team to identify opportunities to transition to global or multi country contracts
  • Vendor SLA management and cost effectiveness oversight and budget control.
  • Liaison with Procurement and research on best in market and cost effective technology options
  • Maintain strong relationships with local IT suppliers, working to ensure cost effectiveness of products and services, developing appropriate supplier Service Level Agreements and monitoring supplier activities.
  • Monitor spend against approved budgets; escalate where required.
  • Follow up with Vendors on Invoicing and Payment issues
  • Ensure all invoices are paid on time every time
  • Regular meetings with Finance to ensure alignment between IT and Finance processes
  • Review Invoices for accuracy and escalate as needed
  • Maintain Contract System up to date
  • Maintain and Manage strategic vendor relationships and contacts
  • Education :

  • Bachelor’s degree in Computer Science or Business. MBA an asset.
  • Experience and skills :

  • A minimum of 3 to 5 years previous experience in a pharmaceutical environment or regulated industry
  • Knowledge of key business systems, processes, strategies and tactics
  • Knowledge of IT strategy and a broad understanding of our IT capabilities.
  • Strong IT Technical knowledge
  • Effective relationships across the global IT organization, enabling job holder to know how to get things done by those based outside of the Canadian team
  • Knowledge of Technical Area Leads strategies and their applicability to the Canadian business
  • Knowledge of change management, business analysis and facilitation tools and best practices.
  • Familiarity with and experience of adhering to, the quality principles of GxP and GAMP
  • Experience in Procurement, Vendor Management and P2P process
  • Experience monitoring budget
  • Understanding of business and IT; a track record of proactively identifying opportunities for IT solutions to enable business strategic goals
  • Autonomous working; working at own initiative, with some oversight and input, to deliver expected outcomes
  • Relationship Building : Proven ability to build and maintain credible partnerships with stakeholders and become established as trusted and respected IT advisor
  • Proven ability to communicate effectively with individuals and groups at all levels of an organization, written or verbal form, in all settings.
  • Strong knowledge and working experience with Portfolio Program and Project Management Tools. Working knowledge and experience of MS Project Portfolio Management Tool (Project Online) and Service Now an asset
  • Strong experience in SDLC (System Development Lifecycle methodologies - Waterfall, Agile, Iterative),
  • Project Management Lifecycle best practice
  • Strong knowledge of MS Suite of products (Word, Excel, Visio, Project, SharePoint)
  • Relational data base analysis experience
  • Have a strong understanding of Software Development Techniques, and data modelling
  • Work experience with Enterprise Architect (EA)
  • Experience working in professional services and / or service delivery an asset
  • Experience working with IT infrastructure, architecture, web development and / or cloud technologies an asset
  • Experience working with Veeva platform an asset
  • Strong facilitation, presentation and training skills with the ability to lead business requirements gathering session and to effectively advise on business and technology solutions in relation to process improvement, changes to policy, procedures and structure
  • Strong experience with estimating task effort of low to medium complexity project
  • Strong analytical, time management skills with the ability to manage multiple assignments simultaneously with tight deadlines
  • Demonstrated ability to work effectively with minimal supervision and in a team environment.
  • Analyze and make recommendations for hardware and software standardization
  • Create alternative methods of completing tasks, and system inconsistencies to improve function
  • Work with hardware and software vendors to verify timely product delivery and ensure that new equipment is installed and ready to operate on schedule
  • Document procedures, standards, best practices configurations, settings, installation sequences and back-out instructions
