Reporting to the Director, Proposal Development, the Proposal Administrator is responsible for assisting the Sales and Marketing’s Proposal Development Team.

The candidate will have strong organizational skills, professional written and verbal communication skills, and will be able to perform effectively both independently and in a team oriented environment.


Assistance to the Bid Team on Bid Packages :

  • Complete client prequalification questionnaires; includes maintaining a database of standard response templates
  • Document editing & formatting
  • Professional business writing and meeting minutes
  • Coordinating for bid submission requirements
  • Assisting with tracking of bid results
  • Managing the Proposal Log Process :

  • Receiving and validating requests for proposals from Sales Associates
  • Forwarding requests to assigned Design, Estimating & Operations contacts
  • Tracking and follow up on action items for timely responses
  • Monitoring of web based bid sites :

  • Sourcing potential new bid opportunities
  • Forwarding these opportunities to assigned sales contacts for qualification
  • Tracking and follow up on action items for timely responses
  • Other duties :

  • Reception coverage for breaks
  • Assist with client meetings and coordination

    Required education and experience :

  • A minimum of five (5) years of related work experience in sales support, contract management or similar role with increasing levels of responsibility;
  • Demonstrated flexibility and responsiveness with working with multiple and varied requests and / or projects; and
  • Advanced proficiency with Microsoft Office (Word, Excel, PowerPoint and Outlook) and Adobe Acrobat Pro.
  • Required skills and abilities :

  • Able to learn proprietary software quickly;
  • Attention to detail and strong organizational skills;
  • Photoshop and Salesforce experience is an asset;
  • Type a minimum of 50 words per minute;
  • Strong written and verbal communication skills; able to effectively communicate with clients and other departments;
  • Demonstrate initiative to be proactive;
  • Able to work under pressure in a fast paced and deadline driven environment;
  • Able to effectively manage fluctuating workloads and adjust priorities to meet changing deadlines; and
  • Able to take direction from multiple sources.
