Our client is a major property management company located right along the subway line in downtown Toronto, and their IT department is looking for an Administrative Assistant.

The ideal Administrative Assistant, which will be providing day-to-day support for the Vice President of IT, will be a tech-savvy candidate that has at least 3-5 years of experience as an Administrative Assistant with experience working in tech or supporting an IT department.

What will YOU be doing as the Administrative Assistant?

Project Administration

  • Liaising with internal departments as well as external suppliers and vendors
  • Conduct analyses and apply cost allocation of IT resources for various business units
  • Make IT related technology purchases through the Business ERP system, creating and overseeing the generation of purchase orders (PO) and seek necessary approvals
  • Coordinate with vendors and suppliers to provide payment through Business ERP system and Accounts Payable (AP), resolving invoices or billing related discrepancies if necessary
  • Administrative Support

  • Provide support to the VP with day-to-day functions (calendar management, coordinating meetings, room bookings, travel arrangements and accommodations, preparing correspondences and meeting materials)
  • Maintain IT department's database of contacts
  • Update contract details and support management team on renewals

    What do YOU bring to the table?

  • MUST HAVE 3 to 5 years of experience in an office administrative support role
  • MUST HAVE 1 to 2 years of experience supporting an IT department or project management / coordination
  • Excellent written and verbal communication skills
  • Demonstrated ability to manage several initiatives and operational requirements simultaneously with strong analytical and problem solving skills
  • Advanced knowledge of Microsoft Office suite
  • Knowledge of Information Technology COBIT Governance is a NICE TO HAVE
